Job Summary:
The Accounts Payable Staff is responsible for managing and processing the company’s payables. This includes handling vendor invoices, verifying and reconciling bills, preparing payment requests, and maintaining accurate records to ensure timely and accurate payments. The role also involves managing the company's petty cash fund, ensuring proper documentation, disbursement, and replenishment processes are followed. Overall, the position supports the efficiency and accuracy of the company’s financial operations.
Key Responsibilities:
- Receive, verify, and process supplier invoices and employee reimbursement claims.
- Ensure that invoices are properly authorized and supported by required documents (POs, delivery receipts, service PO, etc.).
- Prepare payment vouchers and facilitate timely payment runs (e.g., check runs, bank transfers).
- Reconcile accounts payable transactions and resolve discrepancies with vendors or internal departments.
- Maintain accurate records of payables and support monthly closing activities.
- Monitor aging of accounts payable and follow up on overdue items.
- Coordinate with purchasing and receiving departments for invoice verification.
- Ensure compliance with company policies and relevant tax and regulatory requirements (e.g., VAT, EWT).
- Assist in the preparation of audit schedules and support external or internal audits as required.
- Maintain organized and updated files and documentation for all payable-related transactions.
- Act as the Petty Cash Custodian – disburse petty cash funds as approved, ensure proper documentation of all transactions, and prepare timely replenishment reports.
- Regularly reconcile the petty cash fund and ensure proper safekeeping of cash and receipts.
Qualifications:
- Bachelor’s degree in Accountancy, Finance, or a related field.
- At least 2–3 years of relevant experience in accounts payable or general accounting
- Strong attention to detail and high level of accuracy.
- Good organizational and time management skills.
- Familiarity with accounting software (e.g., SAP, Oracle, QuickBooks, or similar).
- Proficiency in Microsoft Excel and other MS Office applications.
- Strong communication and interpersonal skills.
- Ability to work independently and as part of a team.
- Trustworthy and responsible, especially in handling cash transactions.
Job Type: Full-time
Pay: Php23,000.00 - Php28,000.00 per month
