JOB SUMMARY:
The Administrative Assistant plays a crucial role in ensuring the smooth operation of administrative functions within the group of companies. The role encompasses various responsibilities including asset, building and facilities management.
This role will involve overseeing various administrative tasks related to building maintenance, repairs, accounts management, asset management, insurance, vehicle maintenance, and business permits and licenses for facilities and business operations. The ideal candidate should possess strong communication skills, attention to detail, and the ability to multitask effectively.
Accounts Management for Lessors:
- Assist in managing accounts related to leasing agreements, rent collection, and invoicing for tenants.
- Ensure accurate and timely billing of rent, utilities, and other fees.
- Collaborate with the accounting department to reconcile financial records and resolve any discrepancies.
- ·Maintain up-to-date records of lease agreements, rental payments, and tenant communication.
- Process accounts and incoming payments in compliance with financial policies and procedures
- Records Management
- Perform day to day financial transactions, including verifying, classifying, computing, posting and recording accounts receivables’ data
- Prepare bills, invoices and bank deposits
- Reconcile the accounts receivable ledger to ensure that all payments are accounted for and properly posted.
- Verify discrepancies by and resolve clients’ billing issues
- Facilitate payment of invoices due by sending bill reminders and contacting clients
- Generate financial statements and reports detailing accounts receivable status
- Pays invoices by verifying transaction information, scheduling, preparing disbursements, and obtaining authorization of payment.
- Resolves account discrepancies by investigating documentation, issuing stop payments and adjustments.

The minimum requirements for the job are as follows:
- Bachelor’s degree in accountancy, banking and finance, financial management or equivalent
- Fresh graduate are welcome to apply
- 1 year experience is advantage but not required
- Good interpersonal skills
- A resident of Silang Cavite is preferred, but not required.
