Job Summary:
The Administrative Assistant for the Workshop Department will provide comprehensive administrative support to ensure smooth operations within the workshop. This role involves managing billing and sales invoicing, coordinating petty cash requests with the accounting department, and assisting the Workshop Supervisor/Manager with various detailed tasks. The position also requires close coordination with Service Advisors and Technicians to facilitate parts and tools issuance and to monitor the status of repair and maintenance job orders.
Key Responsibilities:
- Monitor and manage billing processes related to workshop services and parts.
- Prepare, process, and track sales invoices accurately and timely.
- Coordinate with the Accounting Department for petty cash requests, ensuring proper documentation and approval.
- Assist the Workshop Supervisor/Manager with daily administrative tasks, including scheduling, record-keeping, and communication.
- Coordinate with Service Advisors regarding the releasing of parts and tools requests to ensure timely issuance.
- Communicate with Technicians to track and update the status of repair and maintenance job order services.
- Maintain organized records of workshop activities, service orders, and customer transactions.
- Liaise between the workshop team, customers, and other departments to facilitate smooth operations.
- Support inventory tracking and ordering of workshop supplies as needed.
- Prepare reports related to billing, invoicing, and workshop activities for management review.
- Ensure compliance with company policies and procedures in all administrative tasks.
Qualifications:
- Graduate of BS in Management, Financial Management, Accountancy, or any related 2- or 4-year course
- Fresh graduates are welcome to apply
- Proficient in MS Office applications (Word, Excel, Outlook)
- Strong organizational and multitasking skills
- Excellent communication and interpersonal abilities
- Detail-oriented with a high level of accuracy
- Able to work collaboratively across departments and handle confidential information with discretion

Pay: Php14,040.00 - Php15,000.00 per month
