Qualifications:
· Must be a graduate of any four year course, preferably with masteral units.
· Must have at least three (3) years experience in supervisory position.
· Must be competent, mentally and physically fit to perform duties.
· With excellent communication skills, written and verbal.
· With good moral character.
· Knowledge in ISO/Quality Management an advantage.
· Must have leadership and supervisory skills.
· Must know how to deal with customers and should have people skills.
Duties and Responsibilities
Licensing & Accreditation
- Prepares and processes requirements/documents for licensing and accreditation applications.
- Coordinates with department and section heads for required data and information.
- Ensures compliance with quality assurance programs, warranties, and accreditation standards.
- Updates hospital committees (e.g., Therapeutics, Infection Control) with relevant reports.
- Secures and renews licenses, permits, and health certificates from government agencies.
- Processes and submits licensing/accreditation fees and requirements within prescribed deadlines.
Administrative Management
- Conducts performance appraisals of administrative personnel and recommends promotions/demotions.
- Reviews and approves leave applications, schedules, and other administrative documents.
- Participates in panel interviews and hiring processes for new employees.
- Conducts regular meetings with administrative staff to review operations and updates.
- Implements hospital policies, procedures, and guidelines in alignment with top management directives.
- Reviews, signs, and approves administrative reports, memoranda, directives, and ISO-related documents.
- Represents the hospital in official gatherings, meetings, conventions, and seminars.
- Evaluates contracts with HMOs and partner companies prior to approval.
Strategic & Quality Management
- Develops strategic plans and Key Performance Indicators (KPIs) for the Administrative Department.
- Collates and reviews quality-related issues, action plans, and improvements across administrative sections.
- Presides over management reviews and ensures alignment with quality objectives.
- Reviews, approves, and oversees origination/revision of quality documents.
- Coordinates documentation processes, prepares minutes, notices, and other quality-related reports.
- Acts as reviewing authority for administrative and inter-departmental documents.
Training & Staff Development
- Identifies training needs, prepares Training Needs Summaries, and formulates annual training plans.
- Endorses and approves training opportunities for administrative staff.
- Provides coaching, guidance, and development support to section heads and team members.
Other Functions
- Formulates and disseminates memos, rules, guidelines, and policies to relevant sections.
- Administers and signs legal affidavits (acknowledgment/admission of paternity, delayed birth registration, etc.), as required.
- Attends Senior Executive Committee meetings and represents the Administrative Department in hospital functions.
- Performs other related tasks as may be assigned from time to time.
