- Prepares billing invoices for down payments, balances & additional costs for projects based on billing requests. Checks and attaches supporting documents – CE, certificates of completion and actual project expenses whenever necessary.
- Sends out billing invoices to agency together with necessary attachments. Ensures that the receiving copies are returned and filed accordingly.
- Monitors the receipt of billing invoices with agency / client accounting.
- Maintains orderly files of billing invoices and supporting documents for easy reference.
- Receives collections and issues corresponding official receipts for UxS and SSMI. Deposits collection received the next banking day.
- Maintains orderly file of ORs and deposit slips for easy reference. Make sure completeness of ORs. Accounts for missing ORs. Ensure that cancelled ORs are intact.
- Prepares and sends Statement of Accounts to clients within the first week of the following month together with collection letters. These should also be filed in a systematic manner for easy reference
- Follows up collection of outstanding accounts receivable on a regular basis.
- Does other functions that may be assigned by the immediate superior from time to time.
- Submits daily cash position, Billings, aging of Accounts Receivable and other related reports to the Finance Director on a weekly basis.
- Ensures prompt and accurate recording of billings and collections.
- Responsible for all used, unused and cancelled accountable forms such as official receipts and billing invoices. Submits to the Finance Director monthly inventory of all used and unused accountable forms.
- Upon instruction of the Finance Director, handles all bank requirement i.e. updating of signature cards, deposits and termination of placements, opening and closing of bank accounts, bank loans and other bank related matters.
- Coordinates with immediate superior for legal documents required by the banks.
