JOB SUMMARY
A professional responsible for managing all the deadlines, schedules, and communications of key executives in their company. They prioritize what they think is needed by the owner, whether it is in emails, phone calls, or any form.
WORK ACTIVITIES
Executive Management
1. Coordinate calendar, arranging meeting/s with the client/consultant, monitor incoming electronic mail and maintain contact files to support efficiency with confidentiality.
2. Giving accurate information in regards with paper trail and all other matters in specific project.
3. Generating documents summarizing financial or office and project expenses, statistical and other mandated duties.
4. Attending meetings, taking and transcribing notes as needed.
5. Coordinates efficiently with parties connected to our company with the image needed by the executive.
HR & Admin
6. Planning events, setting the standard high, making sure every detail is discussed and organize.
7. Filling out the application and the newly hired employee for the company is handled by the Executives.
8. Preparation of end-to-end government mandated duties.
9. Compilation of daily time record for construction worker, sub-contractor and semi-monthly for the office personnel.
10. Neat filing, maintained information of 201 files in hard copies.
11. Provide project assistance with project manager/engineer, supervisors and coordinator.
12. Sourcing out and canvassing materials with different suppliers that will standout not only the quality but also having a good business relationship with them.
13. Anticipate office needs of colleague in order to ensure their seamless and positive experience in the workplace.
CONTEXT
The Executive Assistant provides office management and administrative support to Owners by performing duties that require confidentiality, discretion, fact, diplomacy, sound judgement, analytical, and decision-making skills, as well as independently performing responsibilities. The work day is spent most of the time in the office, but also needs to go out if a physical representative of the company requires. Physical demands are require due to regular assistance. Work schedule are 6 days a week, 8 hours a day, specific time is 8 in the morning up to 5 in the afternoon. Psychological stress is usually low due to the pioneer employee.
COMPENSATION INFORMATION
Grade: 4
COMPETENCIES
Upon hire, the administrative assistant must:
1. Completion of Bachelor's degree
2. 1 year relevant experience
3. Advanced expertise in variety of computer software application
4. Knowledge in various government agencies
5. Ready to travel
6. Excellent verbal and written communication skills
7. Ability to be flexible, make decisions, exercise sound judgement and use initiative
8. Requires continual self-review and planning priorities and deadlines
After hire, the personal assistant must:
1. Learn effective system procedures
Job Type: Full-time
Pay: Php18,000.00 - Php20,000.00 per month
