DUTIES AND RESPONSIBILITIES:
1. Administrative and Clerical Support:
- Provide comprehensive administrative support, including but not limited to answering phones, managing correspondence, preparing reports and presentations, and managing departmental office and utility supplies.
- Maintain comprehensive and up-to-date records of all facility-related activities (both physical and digital) including update electronic version of all facility blueprints & office layout arrangements.
- Develop and implement a standardized documentation system to ensure efficient retrieval and analysis of information.
- Organize and schedule meetings, appointments and facility’s activities such as project improvements and repairs.
- Monitor all submitted Job Order status of all identified facility repair or improvement.
2. Preventative Maintenance (PM) Management:
- Develop and maintain a comprehensive preventative maintenance schedule for all assigned equipment (ACUs, AHUs, water dispensers, and other utility fixtures).
- Monitor the PM schedule, ensuring timely completion of all tasks.
- Track maintenance records, including dates, service providers, and costs.
- Coordinate with external contractors and internal teams for PM & repair services.
- Identify and report any equipment malfunctions or maintenance needs promptly.
- Ensure that all existing OB facilities are fully operational with all utilities, structural, electricals etc. functioning properly.
3. Strategic Planning Support:
- Contribute to the development and implementation of the department's strategic plans, including budget preparation, manpower resource allocation, and performance monitoring.
- Identifies opportunities for improving utility system efficiency, reliability, and cost-effectiveness.
- Implements new technologies for innovations and best practices.
4. Compliance
- Ensure compliance with all relevant safety regulations and company policies.
5. Other duties as assigned: Perform related duties as required to support the overall goals of the department.
REQUIREMENTS/QUALIFICATIONS:
● Bachelor's degree in Facilities Management, Business Administration, or a related field preferred.
● Minimum of 2 years of experience in a facilities management or administrative role.
● Strong organizational and time management skills.
● Proficient in Microsoft Office application (Word, Excel, PowerPoint).
● Experience with preventative maintenance scheduling and tracking software is a plus.
● Excellent communication and interpersonal skills.
● Ability to work independently and as part of a team.
● Strong problem-solving and analytical skills.
● Knowledge of HVAC systems (ACUs and AHUs) is highly desirable.
