Job Mission:

The office Assistant provides vital administrative and operational support to the accounting department. This role ensure smooth day to day activities such as bank errands,document organization and basic clerical work, Thereby contributing to efficient financial operations and regulatory compliance.

Key Tasks and Responsibilities :

1. Bank Liaison and Errands
-Deliver documents to banks, including deposits, withdrawal requests, and other financial instructions.
-Follow up on bank transactions and secure bank statements, transaction slips, and certifications.
-Facilitate safe and timely delivery of important documents to and from financial Institutions.

2.Document Management and Filing
-Sort, organize, and file accounting documents (e.,, invoices, receipts, vouchers, financial records).
-Maintain an organized and up-to-date filing system (both physical and digital) for
easy retrieval and compliance.
-Ensure secure storage of sensitive financial documents

3. Administrative Support
-Assist in the preparation and sorting of accounting-related reports and statements,
-Provide clerical support in data encoding and basic record-keeping as required.
-Assist in seanning and photocopying accounting documents and reports
-Support other basic administrative tasks forthe department.

4. Coordination and Communication
-Liaise with accounting staff and other departments to ensure timely completion of
tasks.
-Relay relevant information to ensure accurate and complete reporting

-Assist in coordinating interdepartmental document requests.

5. Other Assignments, Duties and Responsibilities
-Perform other related duties as assigned by the Accounting Supervisor or Manager.
-Follow the company’s Data Privacy Policy.
-Maintain professionalism and proper conduct at all times.

Accountabilities
-Timely and accurate completion of bank-related errands and document transfers.
-Well-organized, secure, and easily retrievable accounting documents.
-Efficient administrative and clerical support to the Accounting Department.
-Compliance with internal polices and industry regulations.

Problem-Solving Situations
-Managing urgent or sensitive bank transactions efficiently.
-Handling document retrievals for audits, econeiliations, or reports.
-Coordinating conflicting priorities in a fast-paced accounting environment.

Position Specifications

1. Experience and Education:
-Preferably with experience as an office or accounting assistant.
-High schoo! diploma or college undergraduate (accounting or business-related
course is a plus).
2. Skills and Competencies:
-Basic understanding of financial or accounting documentation isa plus.
-Familiarity with fling systems and office equipment (scanner, copier, printer)
-Good organizational and time management sill
-Strong attention to detail,
-Professional and reliable, with a keen sense of responsibility
3. Communication and Interpersonal Skills:
-Ability to communicate clearly and courteously with team members and external
contacts.
-Proactive in seeking clarification to ensure accuracy.
4.Personal Attributes:
-Trustworthy, ethical, and discreet with sensitive information.
-Physically fit and able to handle errands involving banks or other offices.
-Flexible and adaptable in handling diverse tasks and assignments.
