We're looking for an Operations Coordinator to be the linchpin of our daily operations, ensuring everything from client communication to creative support flows effortlessly.

What You'll Do:
Client Experience & Communication
- Be the first point of contact: Manage all incoming and outgoing client communication via phone, text, and email.
- Respond to texts within 5 minutes, emails within 30 minutes, and answer calls live whenever possible.
- Support and guide clients: Assist with booking, scheduling, and service inquiries.
- Build strong relationships: Maintain professional, thoughtful communication with real estate agents, assistants, and brokerages, keeping client preferences and notes meticulously organized in our CRM.
- Ensure client satisfaction: Conduct friendly post-shoot "Care Calls" to gather feedback, proactively ask for reviews and referrals, and expertly resolve any concerns (edits, reshoots, credits) with speed and professionalism.
- Cultivate loyalty: Identify and provide VIP-level service to repeat clients to foster long-term partnerships.
Project & Service Management
- Orchestrate daily shoots: Prepare comprehensive shoot guides for our photographers and videographers.
- Streamline post-production: Route all post-production needs (photo, video, floor plan, virtual staging) to the appropriate editors.
- Monitor project progress: Track service updates like CubiCasa adjustments, airspace requests, and virtual tour tweaks.
- Build stunning online presences: Create and manage Single Listing Websites using HDPHOTOHUB or similar platforms.
- Keep projects moving: Utilize internal tools like Slack and HDPHOTOHUB to monitor and advance projects through our pipeline.
Internal Operations & Team Support
- Master our systems: Learn, apply, and help maintain our company SOPs, workflows, and internal documentation.
- Keep tasks on track: Assign and monitor tasks in Slack to ensure project deadlines are met.
- Coordinate our creative team: Manage photographer/videographer schedules, including time-off requests.
- Collaborate for success: Work closely with the CEO and leadership team to support daily operations and address any bottlenecks.
Additional Responsibilities (As Needed)
- Support light social media coordination, including drafting posts or assisting with the content calendar.
- Manage billing and invoicing follow-ups through platforms like HDPHOTOHUB/Stripe.
- Track referrals and key internal metrics.
- Conduct occasional research on industry trends and competitor offerings.
- Assist with client onboarding, gathering essential materials like headshots, bios, and branding.
Job Type: Full-time
Pay: Php35,000.00 - Php65,000.00 per month
