Job Title: Part-Time/Full-Time Real Estate Executive Assistant
Job Summary:
We are seeking an experienced and highly organized Real Estate Executive Assistant to support our growing real estate business. If you have experience in CRM management, administrative assistance, and real estate operations, this could be a great opportunity for you to thrive in a flexible and remote work setup.
OUR IDEAL CANDIDATE:
- MUST have proven experience as a Real Estate Virtual Assistant, Executive Assistant, or in a similar role
- Proficient in CRM management (e.g., Follow Up Boss, HubSpot, Salesforce, KVCore, Go High Level, etc.)
- Highly organized and skilled at multitasking
- Excellent verbal and written communication skills in English
- Committed to long-term employment and eager to contribute to the team's continued growth and success
Key Responsibilities:
- Maintain and manage CRM systems: update contact records, manage pipelines, set reminders, and track communications
- Coordinate appointments, calendar schedules, and follow-ups with clients, agents, and vendors
- Handle email and phone communication on behalf of the agent/broker
- Prepare and manage real estate documents, contracts, and transaction files
- Perform online research and data entry related to listings, properties, and market updates
- Support marketing tasks: posting listings, creating simple graphics or flyers, managing listing sites
- Provide weekly progress reports and performance summaries
- Perform general administrative tasks as needed
Qualifications:
- Proven administrative experience in a real estate setting is required
- Strong CRM skills – able to manage data and workflows efficiently
- Tech-savvy and able to quickly learn new tools and platforms
- Highly dependable, self-motivated, and detail-oriented
- Experience in transaction coordination, listing management, or lead generation is a plus
- Familiarity with U.S. real estate processes is preferred but not required
Requirements:
- Must have a reliable computer and stable internet connection
- Availability to work within U.S. business hours (fully or partially, depending on client’s needs)
- Strong organizational and time management skills
- Ability to work independently and with minimal supervision
Job Details:
- Work Schedule: 20 hours per week / 40 hours per week (depending on availability and performance)
- Pay: USD $5 per hour
