PROJECT COORDINATOR (HYDRAULICS / PLUMBING FOCUS)
Support an Australian Project Manager | Long-Term Role | Full-Time
About the Company: Commercial plumbing contractor based in Newcastle, New South Wales, Australia. We work on complex, large-scale commercial projects including high-rise buildings, shopping centres, hospitals, infrastructure, and civil works across the Newcastle NSW and Hunter Region.
We’re looking for an experienced and highly motivated Virtual Assistant (Project Support) to work directly with our Project Manager, designer and Contract Administrator in supporting every aspect of our projects from the office — right from planning through to completion.
This is a long-term opportunity for someone who wants to become part of a professional and friendly Australian team, and grow their skills in project coordination, construction admin, and commercial plumbing systems.
What You’ll Be Doing
You’ll work closely with our Project Manager and design team to support the delivery of large-scale subcontractor works on major commercial construction projects. Tasks include:
Assisting with all project admin responsibilities in our systems and folders
Preparing and managing:
- ITPs (Inspection & Test Plans)
- SWMS (Safe Work Method Statements)
- OHS documentation
- Licensing, compliance & worker inductions
- Uploading and managing project documents (plans, RFIs, specifications) via platforms like Procore, Aconex , Visibuild and other builder portals
- Reading and interpreting hydraulic drawings, specs, and scopes of work
- Preparing takeoffs using onscreen tools and building BOQs for tender submissions
- Assisting with tender submissions: compiling documents, doing design reviews, and managing correspondence
- Using software to assist with clash detection and drawing markups
- Tracking compliance documentation for workers and subcontractors
- Supporting the PM in contractor and builder communications (once competent)
- Helping keep everything organised — plans, revisions, RFIs, registers, emails, and correspondence
- Producing take off quantities from FFE schedules and comparing schedules with plans, details and supplier quotations
- Eventually: assisting in cost tracking, purchase orders, and budget reporting
About You – The Ideal Candidate
We’re looking for someone who already has experience in construction or engineering — ideally with exposure to hydraulic plumbing and design.
You should:
- Have a background in construction, civil, mechanical, or hydraulic engineering
- Be familiar with Australian Standards and building codes (or willing to upskill)
- Know your way around hydraulic plans, materials, fittings, and installation processes
- Be fluent in reading and interpreting technical drawings and project documentation
- Understand how to represent a subcontractor’s responsibilities within a principal contractor’s framework
- Be highly organized, with strong written and verbal English communication skills
- Be tech-savvy and confident using:
- Microsoft Office (Excel, Word, Outlook)
- Bluebeam or other markup software
- Onscreen takeoff tools
- Procore, Aconex or similar platforms
- AutoCAD, Revit, BIM (highly regarded but not essential)
