Job Summary
The Purchasing Officer is responsible for sourcing, negotiating, and purchasing food, beverage, and non-food supplies needed for the restaurant’s daily operations. The role ensures timely procurement, cost-effectiveness, and quality compliance of all supplies while maintaining good relationships with vendors. The Purchasing Officer also monitors inventory levels, coordinates with kitchen and operations teams, and ensures procurement activities follow company policies and budget guidelines.
Duties and Responsibilities
- Source, evaluate, and negotiate with suppliers to obtain the best terms for price, quality, and delivery timelines.
- Ensure that all purchases meet the restaurant’s standards for quality, safety, and consistency.
- Monitor inventory levels and coordinate with the kitchen, bar, and operations teams to forecast and determine purchasing needs.
- Process purchase orders and ensure proper documentation and approvals in accordance with company policies.
- Establish and maintain strong relationships with vendors and service providers.
- Monitor supplier performance and address any issues regarding product quality, delivery delays, or pricing discrepancies.
- Coordinate with accounting/finance to ensure timely payment of suppliers and resolve billing concerns.
- Track market trends and provide cost-saving recommendations without compromising quality.
- Maintain organized procurement records, including contracts, invoices, and supplier communications.
- Conduct regular audits of purchased items and inventory to prevent shortages, overstocking, or wastage.
- Ensure compliance with health, safety, and sanitation standards in procurement of perishable goods.
- Perform other related duties as may be assigned by management.
