ABOUT THE ROLE
The Team Coordinator provides executive assistance to the two business owners and administrative support to our team of HR Advisors and Consultants across all areas of HR and business operations.
Key Responsibilities:
Director EA Support
Calendar & Schedule Management
· Coordinate and manage calendars across the team
· Schedule internal and external meetings, workshops, and client sessions.
· Send reminders and prepare agendas.
Email & Communication Support
· Monitor and manage inboxes, flag priority items, draft responses.
· Liaise with clients, partners, and internal team on behalf of Directors.
· Document Preparation & Editing
· Draft, proofread, and format reports, proposals, presentations, and internal documents.
· Use Canva and MS Office for branded materials.
Meeting Support
· Prepare agendas, take minutes (can recommend automated tool), track action items.
· Follow up on deliverables post-meeting.
Travel & Event Coordination
· Book travel, accommodation, and logistics for conferences, team meetings or client visits.
· Organise team events or client workshops.
Research & Analytics
· Conduct research on HR trends, client industries, and competitors.
· Prepare summaries and insights for strategic planning.
AI & Tech Utilisation
· Use AI tools (e.g. Copilot) to draft content, summarise documents, and automate tasks.
· Stay updated on new tech tools to improve efficiency
· Assist in the preparation of HR-related documentation, including employment contracts, letters, policies & procedures, and HR Manuals (including updates as required).
· Review and update policy templates in line with legislative updates.
Team Administration Support
· Assist in the recruitment process by posting job openings, conducting phone screens, scheduling interviews, and coordinating candidate communication.
· Conduct reference checks.
· Draft and revise position descriptions for clients, ensuring alignment with needs and objectives.
· Support audits and investigations as needed, maintaining confidentiality and integrity.
· Assist in the creation of training programs, including presentations, workbooks, and online resources.
· Support the evaluation of training effectiveness through the creation of feedback surveys via Odoo.
· Assist in the design and implementation of employee engagement and leadership surveys. Compile data and prepare summary reports once completed.
· Action other deliverables generated from client meetings and requests.
Systems & Reporting
· Ensuring CRM is up to date with lead and contact data.
· Regularly maintaining and updating mailing contact lists (PP, On Demand, On Demand Plus, Newsletter)
· Setting up events on Odoo e.g. training or webinars
· Drafting client proposals
· Drafting client agreements via Odoo
· Updating monthly dashboard to reflect business performance (lead conversion, client stats, income, marketing output etc.)
· Provide general administrative support to the team, including scheduling meetings, and documenting meeting minutes.
· Assist with preparing and editing documents, presentations, and reports as required.
· Conduct research on industry trends, best practices, and competitor analysis to support business decision-making.
· Analyse data and generate insights to inform strategic initiatives and operational improvements.
· Maintain detailed records of lead interactions in CRM systems.
· Generate reports on lead conversion rates and other key metrics.
· Send Odoo subscription invoices each month
Social Media and Marketing
· Participate in the creation of marketing documents content.
· Assist in idea generation for marketing output and mail outs.
· Support website maintenance and action necessary updates as requested.
Continuous Improvement/Professional Development
· Update, maintain and contribute to the ongoing improvement of business processes and systems
· Participate in regular and ongoing professional and personal development activities and company events as required
· Remain up to date with changes in applicable legislation and regulations.
· Any other duties as reasonably requested

Qualifications & Skills:
· Strong administrative and coordination skills.
· Advanced proficiency in Microsoft Office Suite, especially Excel & PowerPoint.
· Previous use of CRM/ERP tools/systems – e.g. Odoo.
· Experience using AI tools, preferably Microsoft Copilot, to enhance productivity.
· Familiarity with Canva and document design tools.
· Experience with HR systems and processes is advantageous.
· Excellent communication and organisational skills.
· Ability to work independently and manage multiple priorities remotely.
· Good verbal and written communication skills; confident and articulate
