The Admin and Operations Officer is responsible for supporting the overall administrative functions and daily operational activities of the resort. This role ensures efficient coordination between departments, maintains proper records and compliance, and assists in implementing operational policies and procedures. The position plays a key part in ensuring smooth resort operations and delivering quality service to guests.
Job Description:
Administrative Duties:
- Prepare reports, minutes of meetings, and correspondence as needed.
- Handle communication with suppliers, government agencies, and partners when necessary.
- Ensure compliance with local regulations, licenses, and permits related to resort operations.
Operations Support:
- Assist in coordinating the daily activities of departments such as F&B service, Cashier and Inventory
- Monitor cleanliness, safety, and maintenance checklists and escalate issues as needed.
- Help track guest feedback and service concerns, and support issue resolution.
- Follow up on staff task execution and ensure department checklists are updated and submitted.
- Assist in coordinating schedules, events, and resort activities, including tours and wellness services.
Inventory and Asset Monitoring:
- Help oversee inventory control for all departments and admin supplies.
- Monitor asset usage, maintenance logs, and storage conditions.
- Assist in stock requests, receiving, and documentation processes.
Finance & Reporting:
- Assist with petty cash handling, receipt tracking, and voucher submission.
- Coordinate with the accounting team to ensure timely submission of operational documents and logs.
- Prepare simple expense and operations summary reports as required
Requirements:
- Bachelor’s degree in Business Administration, Hospitality Management, or a related field.
- At least 1–2 years of experience in an administrative or operational role in hospitality.
- Strong organizational and multitasking skills.
- Proficient in MS Office (Excel, Word, Outlook); experience in hotel/resort systems (e.g., Hotelogix) is a plus.
- Strong communication and interpersonal skills.
- Willing to work in a fast-paced, customer-oriented environment.
