Position Overview
We are looking for a detail-oriented and organized Admin / Document Controller to support the administrative and documentation needs during the construction phase of a solar power plant in Gamu, Isabela. The role is project-based and will be vital in ensuring accurate and timely documentation, efficient office support, and compliance with regulatory and project documentation standards.
Key Responsibilities
- Establish and maintain a structured document control system for project records, technical drawings, contracts, and reports.
- Ensure all documents are properly categorized, stored, and easily retrievable.
- Control the numbering, sorting, filing, and retrieval of both electronic and hard copy documents.
- Track document revisions and ensure the latest versions are available to relevant stakeholders.
- Coordinate with engineering, procurement, and construction teams to manage document flow.
- Ensure compliance with industry standards, regulatory requirements, and company policies.
- Prepare and maintain logs for incoming and outgoing documents.
- Support audits by providing necessary documentation and records.
- Assist in the preparation of reports, presentations, and project documentation.
- Train and support team members on document control procedures.
- Perform administrative functions
- Perform other functions as may be assigned to you in relation to the construction of the project, consistent with your role and responsibilities.
Qualifications and Skills
- Bachelor’s degree in Business Administration, Office Management, or related field.
- At least 3 years of experience in administrative or document control roles, preferably in construction or infrastructure projects.
- Familiarity with document control systems, file management, and version tracking tools (e.g., MS Office, SharePoint, or similar).
- Strong organizational and time-management skills.
- High attention to detail and accuracy.
- Good communication and interpersonal skills.
- Ability to work independently and manage multiple priorities.
- Knowledge of construction documentation and regulatory processes in the Philippines is an advantage.
