Job Title: Billing Assistant

Job Summary:
The Billing Assistant is responsible for ensuring the timely and accurate preparation, issuance, and monitoring of billing statements and collections for homeowners in the subdivision. The role requires attention to detail, accuracy, and good communication skills to ensure smooth financial operations in the homeowners’ association.
Key Responsibilities:
- Prepare and issue monthly billing statements for homeowners (e.g., dues, penalties, utility charges).
- Maintain and update accurate records of homeowner accounts using accounting or property management software.
- Receive and record payments made through various channels (e.g., over-the-counter, bank transfers, GCash).
- Monitor accounts receivable and follow up on delinquent accounts.
- Assist in preparing financial reports related to billing and collections.
- Address homeowner inquiries regarding billing issues in a courteous and professional manner.
- Coordinate with the Property Manager regarding payment arrangements, disputes, and collection strategies.
- Support annual budget preparations and dues adjustments.
- File and organize billing and payment records for audit and compliance purposes.
- Maintain the confidentiality of all financial and personal homeowner data.
Qualifications:
- Graduate of a 2-year or 4-year course in Accounting, Business Administration, or a related field.
- Experience in billing, accounting, or administrative work (preferred, but not required).
- Proficiency in MS Excel, Google Sheets, and accounting software.
- Strong attention to detail and organizational skills.
- Strong communication and interpersonal skills, particularly in interacting with residents.
- Trustworthy, discreet, and capable of handling sensitive information.
- Familiarity with subdivision operations and HOA regulations is an advantage.
Work Schedule:
- Monday to Friday, 8:30 AM to 5:30 PM | Saturday, 8:30 AM to 12:00noon
- May be required to work on weekends during HOA meetings or special events.
