JOB SUMMARY:
Under the direct supervision of the Area Manager, Branch Operations Head oversees maximum of 4 offices, providing guidance in the areas of operational management, people management, financial management, admin and networking.
DUTIES AND RESPONSIBILITIES
A. People Management
1. Conducts various HR functions as follows; reviews and endorses all actions related to staff:
- Recruitment and staffing functions in coordination with HR and Operations Head
- Prepares, oversees, overall coordinator and resource person for the onboarding of new staff in the branch
- Facilitates benefits admin in coordination with HR
- Implements and conducts performance evaluation to all branch staff
- Oversees, reports to HR, Dept Head staff cases, including but not limited to AWOL and other incidents involving branch staff.
- Implements and recommends staff recognition and other engagement activities, learning and development interventions for the branch staff.
- Monitors staff exit and conducts interview to all resigning staff of the branch.
- Signs and endorses exit and clearance documents and turn over reports.
2. Instill the right culture in the branch staff anchored on EPMI core values, implements Monday devotion and prayer time.
3. Handles communication among and between staff (i.e., solicits suggestions and inputs by conducting regular meetings of branch personnel and encouraging them to explore new approach to resolve concerns and issues)
4. Identifies, develops next in line leaders of the organization.
5. Overall responsible in retaining and developing EPMI staff in the branch in coordination with different department heads.
B. Operational Management
1. Guides and monitors the Program Unit Head in setting and achieving branch operational base on approved plans and budget.
2. Sets a high level of operational efficiency of the branch by implementing standard procedures and encouraging new ideas and approach to speed up branch processes.
3. Ensures implementation and compliance of standardize branch workflow procedures, identify gaps and makes recommendation to address gaps for non-compliance.
4. Reviews and approves loans and non-loans disbursement.
5. Conducts regular operational meeting to branch staff, identifying gaps, strategies and recommendations to continuously improve performance.
6. Prepares and analyzes branch performance regularly and submits reports as required.
7. Guides the Program Unit Head in the implementation of the standard workflow and ensures compliance of all unit staff
8. Prepares and analyses branch reports on a monthly, quarterly and annual basis and submits the same to Immediate Supervisor and/or other concerned departments.
C. Financial Management
1. Monitors financial requirements, targets and expenses are within the approved plans and budget.
2. Reviewed and approves disbursement for loans and non-loans according to policy (DOA).
3. Monitors branch’s portfolio and performance indicators according to MNRC, PESO standards.
4. Monitors cash collections are secured, safekept and deposited to EP’s designated banks.
5. Reviews and approves various reports prepared by finance to monitor branch performance and to identify areas where efficiency measures are lagging behind.
D. Systems Administration
1. Acts as the overall system administrator for the branch in the effective and legal use of the computerized system, in close coordination with the MIS Dept.
2. Assigns, activates or deactivates access of Program Unit Head, Branch Accountants and FAA’s in the computerized system.
3. Monitors system loopholes and gaps and coordinates with the MIS Dept for feedback and addressing gaps.
4. Approves transactions for loans and non-loans in system’s transactions.
5. Trains PS and provides oversight to all branch staff in the use of computerized system
6. Coordinates with the Branch Accountant in the use and preparation of finance modules of the computerized system.
7. Ensures data are secured at the branch at all times.
E. Marketing, networking and relationship building
1. Develops and maintains linkages with agencies and groups that may be able to provide support services to clients, as well as the Branch Office, particularly on enterprise and entrepreneurship development.
2. Meet with local community leaders and officials by initiating meetings and attendance to public forums, etc. to establish good rapport and make visible organization’s thrust and direction to achieve social impact.
3. Represent the organization by attending social gatherings and functions,
F. Market and area study
1. Analyzes target market/community by reviewing available socio-economic data, insights and feedback provided by community leaders and other reliable resource person to reformulate or tweak existing marketing plans.
2. Recommends new products and services needed by the community after careful analysis and assessment based on feedback, actual social impact and inputs by Program Officers/Supervisors.
G. Client relationship
1. Provides guidance to Porgram Unit Head in receiving, handling and resolution complaints, issues of clients
2. Recommends and/or implements programs to improve relationship and service to EPMI clients.
H. Risk Management & Compliance check
1. Regularly visits and conducts ramdom compliance check on EPMI policies related to operations, finance and admin, HR and EP1 Tech among others.
2. Reports and prepares recommendations to address non compliance, and implements necessary action based on policy.
I. Others
1. Performs other task and functions which may be required of the position by the immediate superior from time to time.
Job Type: Full-time
Pay: Php30,000.00 - Php35,000.00 per month
