Work Schedule: Monday to Friday 8:00am to 5:00pm Sydney Time with 1 hour unpaid break.

Responsibilities:
Ensure 100% compliance with school and regulatory requirements by managing and submitting all necessary documentation on time.
Maintain accurate and up-to-date records across all digital platforms and compliance systems.
Support seamless scheduling and booking processes to guarantee smooth execution of coaching sessions.
Provide responsive and professional support to coaches, clients, and team members.
Contribute to process improvement by identifying opportunities to streamline compliance and booking workflows.
Scope:
Compliance Management: Oversee submission, renewal, and verification of all compliance documents and clearances for coaches.
Document Control: Maintain digital filing systems, ensuring accurate and secure storage of all records.
Coach & Client Coordination: Support rostering, booking entries, and communication between coaches and clients.
System Updates: Maintain internal systems (EMS, Personnel Manager, Coach Portal) with up-to-date coach and client information.
Administrative Support: Assist with certificates, risk assessments, thank-you letters, packing lists, and other ad hoc admin needs.
Process Improvement: Identify ways to enhance efficiency in compliance tracking and booking workflows.
Requirements
Proven experience in administration, compliance coordination, or bookings support (experience in education, sports, or training sectors is a plus).
Strong organizational and time management skills with the ability to handle multiple priorities and deadlines.
High attention to detail and accuracy when handling documents, records, and compliance requirements.
Proficiency with digital tools such as Google Drive, spreadsheets, Canva, CRM systems, or booking platforms.
Excellent communication and stakeholder management skills, both written and verbal.
Ability to work independently with a proactive mindset while thriving in a collaborative team environment.
Familiarity with compliance processes (e.g., WWCC checks, clearances, and document verification) preferred.
