This is a remote position.

Work Schedule: Monday to Friday 8:00am to 5:00pm Sydney Time with 1 hour unpaid break.

Job Type: Full-time


Responsibilities:

  • Ensure 100% compliance with school and regulatory requirements by managing and submitting all necessary documentation on time.

  • Maintain accurate and up-to-date records across all digital platforms and compliance systems.

  • Support seamless scheduling and booking processes to guarantee smooth execution of coaching sessions.

  • Provide responsive and professional support to coaches, clients, and team members.

  • Contribute to process improvement by identifying opportunities to streamline compliance and booking workflows.


Scope:

  • Compliance Management: Oversee submission, renewal, and verification of all compliance documents and clearances for coaches.

  • Document Control: Maintain digital filing systems, ensuring accurate and secure storage of all records.

  • Coach & Client Coordination: Support rostering, booking entries, and communication between coaches and clients.

  • System Updates: Maintain internal systems (EMS, Personnel Manager, Coach Portal) with up-to-date coach and client information.

  • Administrative Support: Assist with certificates, risk assessments, thank-you letters, packing lists, and other ad hoc admin needs.

Process Improvement: Identify ways to enhance efficiency in compliance tracking and booking workflows.



Requirements

  • Proven experience in administration, compliance coordination, or bookings support (experience in education, sports, or training sectors is a plus).

  • Strong organizational and time management skills with the ability to handle multiple priorities and deadlines.

  • High attention to detail and accuracy when handling documents, records, and compliance requirements.

  • Proficiency with digital tools such as Google Drive, spreadsheets, Canva, CRM systems, or booking platforms.

  • Excellent communication and stakeholder management skills, both written and verbal.

  • Ability to work independently with a proactive mindset while thriving in a collaborative team environment.

  • Familiarity with compliance processes (e.g., WWCC checks, clearances, and document verification) preferred.
