Position Overview:
The Department Secretary is responsible for providing comprehensive administrative support to the CNBG director. This role requires exceptional organizational skills, attention to detail, and the ability to handle confidential information with discretion.

- Excellent communication skills: Effective verbal and written communication, both internally and externally.

- Proficiency in Microsoft Office Suite: Word, Excel, PowerPoint, Outlook.
- Attention to detail: Ability to maintain accuracy and consistency in work.

Job Description:
Administrative Support:
- Calendar Management: Efficiently manage the Director’s schedule, coordinating meetings, appointments, and travel plans.
- Document Preparation: Prepare and organize essential documents, reports, presentations, and correspondence.
- Communication Handling: Manage incoming and outgoing communication channels, including calls, emails, and mail.
- Recordkeeping: Maintain accurate and organized records and filing systems.
Event Coordination:
- Event Planning: Plan and execute successful meetings, conferences, and other events.
- Travel Management: Assist with travel arrangements, including visa applications, flight bookings, and accommodation.
- Logistics Coordination: Oversee event logistics, such as catering, venue selection, and equipment rental
Direct Support
- Research and Analysis: Conduct research and provide analysis as needed to support the director's work.
- Financial Management: Prepare and reconcile expense reports, ensuring accurate financial records.
- Confidentiality: Handle sensitive information with the utmost discretion and confidentiality.
- Proactive Support: Anticipate the director's needs and proactively address them.
Office Management:
- Operations Oversight: Oversee the day-to-day operations of the office, including supplies, equipment, and maintenance.
- Staff Management: Train and supervise junior staff members, ensuring their effective performance.
- Compliance: Ensure adherence to company policies and procedures.
