Job Purpose:
To ensure the timely, accurate, and efficient preparation and management of documents, supporting the implementation and maintenance of the ISO 9001:2015 Quality Management System (QMS). The Document Control Officer plays a key role in maintaining compliance, leading internal audits, and training staff on document management systems and procedures.
Key Responsibilities:
- Manage and control the flow of documents to ensure accuracy, timeliness, and compliance with standards.
- Initiate and support the certification and implementation of ISO 9001:2015 QMS.
- Lead and conduct internal quality audits in accordance with ISO 9001:2015 requirements.
- Train staff on document management systems and procedures.
- Maintain organized records and ensure document version control.
- Coordinate with departments to ensure proper documentation practices are followed.
Requirements:
- Education: Bachelor's degree in Business or Office Administration, or any related discipline relevant to document control and quality systems
- Experience: Minimum of 2–3 years of relevant experience in document control, records management, or quality systems administration
- Skills:
o Document Management – Proficient in organizing, tracking, and maintaining document control systems
o ISO 9001:2015 Compliance – Strong understanding of quality management standards and audit requirements
o Internal Auditing – Capable of planning, conducting, and reporting internal audits
o Attention to Detail – Ensures accuracy and consistency in documentation
o Communication Skills – Clear and professional communication with cross-functional teams
o Training & Facilitation – Ability to train staff on document control procedures and systems
o Time Management – Efficient in handling multiple tasks and meeting deadlines
o Technical Proficiency – Familiarity with document control software, Microsoft Office Suite, and digital filing systems
Preferred Qualifications:
- Certificates of training in ISO 9001:2015 Quality Management System.
- Experience in implementing and maintaining ISO 9001:2015 certification.
- Specialized training in document management systems and procedures.
