Job Summary:
The Executive Assistant provides direct support to the CEO by managing daily schedules, handling critical communications, and ensuring that administrative operations run smoothly. This role requires strong organizational skills, attention to detail, and the ability to maintain discretion when dealing with confidential information. You will serve as a reliable point of contact between executives and internal/external stakeholders, while also supporting company-wide operational initiatives.
Key Responsibilities:
- Manage the day-to-day calendar of the executives, including scheduling meetings, appointments, and travel arrangements.
- Handle professional and confidential communication on behalf of executives.
- Organize and maintain executive files, records, and documents for easy retrieval.
- Coordinate with various departments for follow-ups on executive directives and project deadlines.
- Assist in the preparation of presentations, reports, and other business documents.
- Monitor, organize, and prioritize incoming emails, messages, and requests.
- Manage expense reports, reimbursements, and assist in minor finance tracking tasks as needed.
- Ensure smooth coordination during company meetings, including logistics and documentation.
- Provide administrative support in organizing internal activities, trainings, and external business engagements.
- Support special projects and perform other tasks as assigned by executives.
Qualifications:
- Bachelor's Degree in Business Administration, Management, or related field
- At least 2 years of experience as an Executive Assistant or in a similar administrative role
- Strong command of Google Workspace or Microsoft Office tools
- Excellent organizational, time management, and multitasking abilities
- Exceptional written and verbal communication skills
- Discreet and reliable when handling confidential or sensitive information
- Ability to work independently and maintain efficiency under pressure
- Experience in supporting executives in a fast-paced, multi-functional business is an advantage
- Familiarity with productivity and communication tools (e.g., Slack, Zoom, Trello) is a plus
