We’re a fast-growing digital marketing agency working with both our in-house brands and amazing client accounts in real estate, e-commerce, franchising, and high-ticket products. With our team expanding quickly, we need someone who can help keep everything running smoothly behind the scenes.
We’re looking for an Executive Assistant who is detail-oriented, reliable, and proactive. If you love organizing tasks, managing schedules, preparing documents, and making sure nothing falls through the cracks, you might be the perfect fit for this role.
Responsibilities
- Provide direct administrative support to the CEO and management team
- Manage calendars, appointments, meetings, and travel arrangements
- Organize documents, files, and digital assets in a structured and accessible way
- Handle emails, messages, and communications on behalf of management
- Prepare and send client invoices via email, track payments, and follow up when necessary
- Reach out to clients for coordination, follow-ups, and updates
- Assist in creating proposals and pitch decks for clients and prospects
- Use Canva to create reports, pitch decks, and simple proposals (templates provided)
- Assist in preparing additional reports, presentations, and meeting notes
- Coordinate with different departments (marketing, sales, operations) for alignment
- Monitor deadlines, track progress of projects, and follow up with team members
- Perform research tasks and prepare briefs when needed
- Maintain confidentiality of sensitive information at all times
Qualifications
- Minimum 1–2 years of experience as an Executive Assistant, Administrative Assistant, or similar role
- Strong organizational and multitasking skills
- Must be OC and have a keen eye for details (perfectionist personality is a plus)
- Excellent written and verbal communication skills (English and Tagalog)
- Must know how to use Canva to create reports, pitch decks, and simple proposals (templates provided)
- Proficient in Google Workspace (Docs, Sheets, Slides, Drive) and Microsoft Office
- Familiarity with task/project management tools (ClickUp, Notion, Trello, or similar) is a plus but not required
- Must be knowledgeable in AI prompting (experience with ChatGPT is required, using a ChatGPT Pro account is a big plus)
- Ability to prioritize tasks and work independently with minimal supervision – being proactive is a strong plus
- Trustworthy, professional, and able to handle confidential information responsibly
- Must have a personal laptop/PC and stable internet connection
- Preferably based in Metro Manila
Job Details
- Job Type: Full-time, dedicated role
- Work Schedule: Monday to Saturday, 1:00 PM – 10:00 PM (8-hour shift)
- Location: 100% Work From Home (remote)
- Compensation: ₱18,000 – ₱25,000 per month, with potential bonuses for performance
