About the Role:
We’re looking for a full-time Executive Virtual Assistant to support our team with administrative tasks, phone support, and process creation. You’ll play a key role in keeping things organized, efficient, and running smoothly—all while working remotely!
What You'll Be Doing?
Accounting & Admin Operations:
- Bookkeeping & invoicing via QuickBooks
- Weekly financial reporting, unpaid bills follow-ups, and Excel exports
- Bank transfers and payment tracking
- Dashboard creation to monitor business metrics
- Manage purchase orders and payment approvals
- Submit notes, payment records, and summaries on a weekly basis
Executive Virtual Assistance:
- Email management: Clean-up, sorting, and filtering
- Scheduling meetings and calendar coordination
- Travel booking: Flights, hotels, and itineraries
- Phone support: Use RingCentral to follow up with vendors or resolve billing issues
- Assist in onboarding and offboarding: Setup, checklists, and process flow
- SOP creation and documentation of recurring processes
What We’re Looking For:
✔ Knowledgeable in Quickbooks
✔ 1+ years of experience in administrative & phone support
✔ Excellent English communication skills with a clear and easily understood accent, suitable for phone support interactions with American customers
✔ Tech-savvy with Microsoft Office & Google Suite proficiency
✔ Comfortable with tools like Calendly, RingCentral, and dashboard platform
✔ Reliable internet with a backup connection + noise-canceling headset
✔ Can work 9AM-5:30PM Pacific Time
- Tech & Infrastructure requirements: Applicant to send screenshots of their device specs as proof
- Processor (CPU): Intel Core i5 (10th generation or newer) or AMD Ryzen 5 (or higher). Higher specs may be needed for more demanding tasks
- RAM: Minimum of 8GB to handle multitasking and run multiple applications smoothly.
- Device: Computer should be less than 3 years to ensure compatibility and performance with current software.
- A reliable internet connection (minimum 50–100 Mbps download speed). Our VPs are also required to have a backup connection, although there will be instances (like bad weather) that both the main and backup ISPs are down. If this happens, the VP will pause working for the day and will resume once the internet is back. The VPs make sure that the total hours committed are still delivered.
- Good quality webcam, microphone, and headset.
