Duties and Responsibilities:
- Coordinates with departments on positions due for replacement or additional manpower.
- Maintains and keeps record of approved manpower requisitions, tracks those for approval and those put on hold.
- Maintains pool of applicants for future requirements.
- Monitors weekly recruitment reports and provides feedback to all requisitioning departments
- Designs recruitment ads for on-line sourcing and internal posting
- Coordinates with agencies and on-line recruitment for manpower postings.
- Prepares payment for manpower postings.
- Assists in screening applicants’ resume.
- Administers and checks qualifying exams to applicants.
- Schedules interviews of applicants who passed the qualifying exams.
- Endorses qualified applicants to the next interviewer
- Occasionally conducts initial interview with level 1- applicants in the absence of the HRMD Manager
- Maintains an active file of resumes.
- Properly schedules, pre-employment Exams, medical exams, and interviews of applicants with the requisitioning department.
- Plans for the recruitment & negotiation strategies according to the different types and levels of applicants per position.
- Conducts a thorough interview to applicants and evaluates their personality. Probes the correctness of personal information that has been declared in the application form.
- Issues pre-employment requirement list to qualified candidates. Monitors submission and completion of requirements.
- Coordinates with the company appointed clinic for the results of medical exams
- Issues HR documents to be filled-up/ accomplished by the newly hired employees.
- Introduces and endorses the newly hired employees to the department heads and all departments. Endorses the newly hired employees to department heads.
- Gather/collates all documents/forms related to the requirements for recruitment for 201 file
- Responsible for the timely preparation of:
1. IDs
2. Employment contract
3. 201 file of newly hired employees
- Prepares MSRS form for employees requesting for uniform and other related new employee requirements such as gold name plate
- Monitors locker issuance to employees.
- Conduct quarterly inventory of lockers and coordinate repair works with Facilities and or suppliers.
- Prepares requisition for new lockers and repair of defective lockers.
- Ensures integrity of HR database through regular updating of 201 file and with sole access to the 201 information related to Payroll like salary, employee type, employment status, tax status, and employee number.
- With sole access to employee number
- Monitors contract expiration of non-regular employees, prepares notices to department / section head
- Prepares appraisal forms of employees due for change in employment status
- Provides feedback to the Manager if no advise is received 1 week before expiration of contract
- Prepares Personnel Action Forms (PAF) of employees as a result of movements, changes in salary data and employment status
- Checks accountability of resigned employees, forwards clearance to Payroll for last pay preparation.
- Responsible for coordinating the notarization of Quit Claims of applicable cases and ensuring the completeness of the Last Pay/Quit Claim file
- Prepares Certificate of Employment (CE) and Certificate of Employment and Compensation (CEC) of supervisor
- Encodes task lists on official JD format.
- Routes JD to signatories
- Regularly checks and updates the JDs on file, both the HR and department copies.
- Prepares the JEC kit, especially copies of the Job Descriptions of the positions for review.
- Summarizes results from the job evaluation activity.
- Routes summary of results to signatories
- Maintains training records, provide logistics support and assists implementation of training programs
- Ensures that the list of entries are prepared and submitted for payroll processing
- Prepares and updates the recruitment status report
- Provide assistance in the analysis on Manpower turn over, demographics report and headcount vs salary
- Monitors and ensures that supplies and forms are available at all times
- Ensures safekeeping of supplies
- Recommends ways to minimize cost / lessen expenses related to supplies required by section
- Assist in maintenance and upkeep of the HR stock room
- Performs tasks and other duties as may be assigned from time to time
Minimum Job Requirement:
- Education : AB/BS Psychology/Business Administration/Business Management graduate
- Experience : Preferably with at least 1 year direct work experience in human resource department handling recruitment
- Skills : Flexible and organized, above average oral and written skills required. Test interpretation and administrations.
