Job Summary:
The Human Resource Associate & Assistant to the Executive Vice President (EVP) plays a dual role in ensuring efficient and professional human resource management while providing comprehensive executive-level support to the EVP. She will report directly to the Executive Vice President for both roles.
Key Duties and Responsibilities:
Human Resource Associate Functions
- Oversee the end-to-end recruitment process, including job postings, applicant screening, interviews, onboarding, and orientation to ensure a seamless integration of new hires into the institution.
- Maintain comprehensive and up-to-date employee records, including employment contracts, attendance logs, leave balances, performance evaluations, and training participation.
- Prepare and submit bi-monthly attendance summaries to the Accounting Department for accurate and timely payroll processing.
- Organize and implement training programs to address identified development needs and support employee growth, in alignment with institutional goals.
- Coordinate the employee performance appraisal process in collaboration with department heads, and identify training and development opportunities based on evaluation results.
- Monitor and ensure employee adherence to established policies, reinforcing standards of conduct, performance, and operational procedures.
- Manage employee relations by addressing concerns and resolving workplace issues in a fair, professional, and timely manner to foster a positive and productive work environment.
- Ensure the school’s compliance with labor regulations and accreditation standards, supporting both internal quality assurance and external audits. Generate HR-related documentation and reports required for audits, compliance checks, and accreditation visits, ensuring accuracy and confidentiality at all times.
- Develop and refine human resource policies, procedures, and programs that support the school’s strategic objectives and ensure compliance with regulatory and labor requirements, as needed and subject to approval by Management.
Assistant to the Executive Vice President (EVP) Functions
- Provide administrative and logistical support to the Executive Vice President, including managing schedules, appointments, and correspondence.
- Help manage strategic initiatives and special projects led by the EVP.
- Assist in drafting reports, presentations, letters, and communication materials for the EVP.
- Support the EVP in stakeholder engagement and relationship management.
- Coordinate meetings, take minutes, and ensure follow-up on action items.
- Serve as a liaison between the EVP and internal/external stakeholders, including department heads, parents, partners, and other educational institutions.
- Assist in planning and executing institutional events for employees.
General Tasks
- Submit Weekly Planning Schedule (WPS), and KRA on time.
- Maintain confidentiality and handle sensitive matters with discretion and professionalism.
- Performs such other duties and responsibilities, analogous, pertinent or related to and/ or implied from the above enumeration of functions, duties and responsibilities.
Job Specifications:
1. Qualification Standards:
- Bachelor's degree in Human Resources, Psychology, Business Administration, or a related field.
