As HMR Envirocycle’s Procurement Officer, your primary role is to effectively manage the procurement process, ensuring that the organization receives the best value and quality from its suppliers while supporting operational needs. You are to manage the procurement process for all company requirements, including office supplies, raw materials, construction materials, and project-specific needs. This involves identifying and evaluating potential suppliers, negotiating contracts, and ensuring timely delivery of goods and services. Your responsibility includes maintaining accurate records of purchases, collaborating with various departments to understand their needs, and ensuring compliance with company policies and procedures.
Primary Responsibilities:
Procurement Planning
Collaborate with departments to forecast procurement needs and develop purchasing plans.
Assess inventory levels and determine optimal order quantities.
Contract Negotiation
- Negotiate contracts and pricing with suppliers to secure the best possible terms for the company.
- Review and manage contract compliance and renewals.
Order Management
- Process purchase orders, ensuring accuracy and timely fulfillment.
- Monitor order status and track deliveries to ensure on-time receipt of goods.
Budget Management
- Manage procurement budgets and track expenditures to identify cost-saving opportunities.
- Ensure procurement activities align with financial guidelines and constraints.
Quality Assurance
- Establish and monitor quality standards for purchased goods and services.
- Address any issues related to supplier performance or product quality.
Reporting and Documentation
- Maintain accurate records of procurement activities and supplier contracts.
- Prepare reports on procurement performance, cost savings, and inventory levels.
Compliance and Risk Management
- Ensure compliance with company policies, industry regulations, and ethical sourcing practices.
- Identify and mitigate risks associated with the procurement process.
Skills and Qualifications:
- Graduate of a Bachelor’s degree in Business Administration, Supply Chain Management, or a related field.
- With at least 2-5 years’ relevant experience in procurement or supply chain management
- Familiarity with the specific requirements for office supplies, raw materials, and construction materials.
- Proficient in computer applications and software, including MS Office Suite (Excel, Word, PowerPoint), enabling efficient data management, documentation, and presentations.
- Professional certifications (e.g., CIPS, CPP, BOSH/ COSH) are a plus.
- Strong analytical skills for assessing supplier bids and inventory needs.
- Understanding of supply chain management principles.
