- Source, evaluate, and negotiate with suppliers to obtain the best prices, terms, and quality for goods and services.
- Coordinate with department heads to determine purchasing needs and specifications.
- Prepare and process purchase orders (POs) in a timely and accurate manner.
- Monitor inventory levels and reorder supplies to prevent shortages or overstocking.
- Verify and track deliveries, ensuring all items received meet required specifications and quantities.
- Maintain an organized system of procurement records, including supplier contracts, price lists, and purchase histories.
- Establish and maintain strong supplier relationships for consistent and reliable sourcing.
- Ensure compliance with budget constraints, internal controls, and procurement policies.
- Conduct market research to stay updated on price trends and new vendors.
- Collaborate with accounting for invoice reconciliation and timely payments.
- Address and resolve any supply issues or delays that could affect resort operations.
- Perform periodic audits on supplies and report discrepancies to management.
Qualifications:
- Proven experience as a Purchasing Officer, Procurement Assistant, or similar role (experience in hospitality or resort setting preferred).
- Strong negotiation and communication skills.
- Proficiency in MS Office and procurement software.
- Detail-oriented, with strong organizational and analytical skills.
- Ability to work independently and coordinate with multiple departments.
- Trustworthy, reliable, and capable of handling confidential and sensitive information.
