Purchasing Staff

Job Objective: The position is responsible in obtaining purchase requirements by verifying, preparing, and forwarding purchase orders; verifying receipt of items, authorizing payment, and building and maintaining core supplier relationships by getting the best value on goods and coordinating all relevant documentation activities accurately and efficiently.

Responsibilities:

• Canvasses goods and services needed by the company;
• Prepares purchase orders and bid requests;
• Issues purchase orders to suppliers, confirms delivery dates, and ensures that the quantity and price are correct;
• Notifies concerned parties of defective or unacceptable goods or services, requests inspection to determine the source of the issue, and coordinates corrective actions;
• Monitors the status of purchase requests and purchase orders for supplies and materials;
• Coordinates with suppliers on a day-to-day basis;
• Produces and maintains all reports, files, and documents, including the Procurement Monitoring Information System (PMIS) and the Work and Asset Management System (WAMS);
• Maintains suppliers’ company profiles and uses them as references for future transactions;
• Maintains the Vendor Performance Rating records of suppliers;
• Coordinates with and assists all requesting units regarding their procurement requests and concerns, including the delivery of supplies;
• Attends meetings and trade conferences as needed;
• Coordinates with CEPALCO-Manila Purchasing Department regarding the purchase and delivery of line materials;
• Checks the quality of goods and services rendered by suppliers;
• Conducts research to identify the best products and suppliers in terms of value, delivery schedules, and quality;
• Identifies potential suppliers, visits existing suppliers, and builds and maintains good relationships with them; and
• Performs other related duties that may be assigned from time to time.

Qualifications:

• Graduate of any four-year course;
• Proficient in MS Office applications (Outlook, Word, Excel, PowerPoint);
• Good verbal and written communication skills;
• Highly organized with keen attention to detail;
• Able to multi-task and prioritize workload to meet tight deadlines in a fast-paced environment;
• Works well under minimum supervision;
• Possesses integrity and good moral character;
• Willing to perform fieldwork; and
• Holder of a valid Professional Driver’s License (RC B2).
