Job Description:
The Purchasing Staff is responsible for supporting the procurement activities of the organization by sourcing, ordering, and tracking materials, supplies, and services required for daily operations. This role ensures that purchasing processes are carried out efficiently, cost-effectively, and in compliance with company policies and quality standards.
Key Responsibilities:
- Source and evaluate suppliers based on price, quality, service, and reliability.
- Process purchase orders and ensure timely delivery of goods and services.
- Coordinate with suppliers to confirm order status, delivery schedules, and resolve any discrepancies.
- Monitor inventory levels and collaborate with warehouse or inventory teams to determine procurement needs.
- Maintain accurate records of purchases, pricing, and supplier information.
- Ensure all procurement activities comply with company policies and budget constraints.
- Assist in negotiating contracts, terms, and pricing with vendors as needed.
- Review and verify invoices against purchase orders and delivery receipts.
- Prepare regular reports on purchase activity, cost analysis, and supplier performance.
Qualifications:
- Bachelor’s degree in Business Administration, Supply Chain Management, or a related field (preferred but not always required)
- Previous experience in procurement, purchasing, or supply chain operations is an advantage
- Strong organizational and time management skills
- Attention to detail and accuracy
- Good communication and negotiation skills
- Proficient in MS Office and purchasing software or ERP systems
