About the Role of Sales Admin Associate
The Sales Administration Associate provides high-level administrative and sales support to the onshore real estate team in Melbourne. Working as part of Smartsourcing, this role is responsible for ensuring the smooth and efficient delivery of sales administration processes — from appraisal to settlement — enabling the sales team to focus on client engagement and business growth.
Key Responsibilities
Appraisal
- Process referral and internal referral requests.
- Manage post-marketing appraisal processes.
Listing
- Enter listing details into the CRM system.
- Send standard correspondence to vendors for new listings.
- Send standard correspondence to solicitors (new listing, contract).
- Save and organise all listing-related documentation.
Marketing
- Book photography and copywriting services.
- Launch property listings online.
- Manage campaigns (boards, brochures, drops, and window cards).
- Generate rental appraisals.
- Coordinate and manage Open for Inspection (OFI) schedules.
- Oversee other marketing-related activities as required.
Sold
- Process sold properties in the CRM.
- Send sold letters to vendor and purchaser solicitors.
Settlement
- Process settlements in the CRM system.
Reporting
- Prepare OFI reports.
- Prepare weekly activity reports.
- Maintain and update stock list reports.
- Compile competitor market analysis reports.
Requirements
- Bachelor’s degree in Business Administration, Accounting, Real Estate, or a related field.
- Minimum 2 years’ experience in a BPO or administrative role, preferably supporting real estate operations in Australia.
- Proven background in Australia Real Estate administration.
- Strong organisational skills with exceptional attention to detail.
- Excellent oral and written communication skills.
- Strong leadership skills and ability to take initiative.
- High level of professionalism with a positive and proactive mindset.
- Competence in CRM systems, Google Workspace, Office 365 and relevant real estate software (e.g., Box and Dice, Box Brownie, RTA, Canva, IRE, RelloPay, Diakrit, PropertyData, OurProperty)
- Excellent phone etiquette and customer service skills.
