What you will do as a Scheduling Representative
- Show up for assigned shifts and strictly follow scheduled lunches and breaks to maintain operational consistency.
- Provide exceptional customer service aligned with ClearSource quality standards:
- Accuracy: Deliver only correct information and consistently follow established processes.
- Connection: Build an emotional rapport with customers to strengthen their relationship with our client’s brand.
- Ease: Aim for one-contact resolution, minimizing the customer’s time and effort to resolve issues.
- Correspond with clinic PCCs regarding appointment cancellations and information requests.
- Manage outbound leads primarily from SB, FB, and SSM platforms.
- Update patient records and details upon request.
- Book appointments for both Sound Sleep Medical and patients.
- Receive inbound calls to assist patients with inquiries.
- Make outbound calls to patients who inquired online (ads and Facebook
- Ensure insurance questions are asked on every call.
- Confirm that a familiar voice is requested on every call for verification.
- Ask all required questions to identify potential priority Diagnostic Evaluations (DEs).
- Accurately document necessary details and notes for every patient interaction.
What We're Looking For
- High school diploma or equivalent required; additional education or relevant certifications are a plus
- At least 1 year of experience in sales, customer service, or a related field, demonstrating strong communication and persuasion skills
- Must successfully pass the English proficiency test at level B2 or higher to ensure effective verbal communication
- Typing speed of at least 40 words per minute (WPM) with accuracy, convenience using computer systems and CRM software
- Excellent verbal and written communication skills, with the ability to engage customers professionally and clearly
- Strong focus on accuracy and quality when handling customer information and sales processes
- Ability to thrive in a fast-paced environment, managing multiple tasks and shifting priorities effectively
- Proactive approach to identifying and resolving customer concerns to enhance satisfaction and retention
