Are you a strong communicator who’s passionate about delivering seamless customer experience? We're looking for a Scheduling Representative who thrives in a fast-paced environment and plays a vital role in connecting customers to the services they need.

In this role, you'll handle both inbound and outbound calls, schedule customer appointments, and resolve issues with care and efficiency. Reporting to the Team Lead, you'll also be responsible for meeting key performance goals, including Sales Per Hour (SPH) and weekly outbound conversions, while strengthening the customer's connection to the client’s brand.

What you will do as a Scheduling Representative
  • Show up for assigned shifts and strictly follow scheduled lunches and breaks to maintain operational consistency.
  • Provide exceptional customer service aligned with ClearSource quality standards:
  • Accuracy: Deliver only correct information and consistently follow established processes.
  • Connection: Build an emotional rapport with customers to strengthen their relationship with our client’s brand.
  • Ease: Aim for one-contact resolution, minimizing the customer’s time and effort to resolve issues.
  • Correspond with clinic PCCs regarding appointment cancellations and information requests.
  • Manage outbound leads primarily from SB, FB, and SSM platforms.
  • Update patient records and details upon request.
  • Book appointments for both Sound Sleep Medical and patients.
  • Receive inbound calls to assist patients with inquiries.
  • Make outbound calls to patients who inquired online (ads and Facebook
  • Ensure insurance questions are asked on every call.
  • Confirm that a familiar voice is requested on every call for verification.
  • Ask all required questions to identify potential priority Diagnostic Evaluations (DEs).
  • Accurately document necessary details and notes for every patient interaction.

What We're Looking For
  • High school diploma or equivalent required; additional education or relevant certifications are a plus
  • At least 1 year of experience in sales, customer service, or a related field, demonstrating strong communication and persuasion skills
  • Must successfully pass the English proficiency test at level B2 or higher to ensure effective verbal communication
  • Typing speed of at least 40 words per minute (WPM) with accuracy, convenience using computer systems and CRM software
  • Excellent verbal and written communication skills, with the ability to engage customers professionally and clearly
  • Strong focus on accuracy and quality when handling customer information and sales processes
  • Ability to thrive in a fast-paced environment, managing multiple tasks and shifting priorities effectively
  • Proactive approach to identifying and resolving customer concerns to enhance satisfaction and retention
