Could you be the full-time Transport & Customs Officer in Ortigas, Philippines we’re looking for?
Purpose of the Job:
- Responsible for managing the end-to-end process of transporting goods and ensuring compliance with all customs regulations.
- Facilitate the timely and cost-effective delivery of shipments while ensuring all import and export activities adhere to legal and regulatory requirements.
Your future role (Key responsibilities): To be in charge of an area of the warehouse (incoming, shipping, kitting & mirror area)
Shipping Coordination
- Oversee the coordination of shipments, ensuring timely transportation of goods.
- Collaborate with the Alstom Participating Unit and logistics providers to schedule transportation and monitor shipping schedules in alignment with project requirements.
Customs Compliance
- Ensure all shipments comply with local and international customs regulations.
- Prepare and submit customs documentation for clearance, including bill of lading/Airway bill, commercial invoices, packing lists, and permits and or licenses.
- Communicate the importance of compliance with safety and regulatory standards to all individuals involved in transportation and customs operations.
Documentation Management
- Maintain accurate records of all transportation and customs-related documents.
- Prepare and verify shipping and customs documentation to ensure correct information is provided.
- Maintain accurate records of safety inspections, training sessions, incident reports, and compliance checks.
- Ensure that all necessary documents are accurately completed, submitted, and communicated effectively to customs and other relevant bodies, avoiding potential delays in the clearance process.
- Update internal procedures related to transport and customs operations if necessary.
Risk Assessment
- Conduct risk assessments on shipments to identify and mitigate potential customs issues.
- Stay informed about changes in customs laws and regulations that may impact transportation processes.
- Conduct regular risk assessment of transport routes to identify potential hazards
- Ensure that all transportation vehicles and equipment are regularly inspected, maintained, and in compliance with safety standards.
- Confirm that drivers and operators are trained and certified to operate transportation vehicles safely.
- Implement strategies to mitigate identified risks, ensuring the safety of personnel, cargo, and the environment.
Communication
- Serve as the primary point of contact for internal stakeholders, customs brokers, freight forwarders, and other transportation personnel.
- Liaise with internal departments (e.g., finance, procurement, Stakeholders) to gather required documentation and information.
- Communicate critical information about shipping schedules, customs requirements, and regulatory changes to relevant parties without delay.
- Collaborate with other departments to support supply chain objectives and enhance efficiency.
Problem Resolution
- Address and resolve any issues that arise during the shipping and customs clearance process such as
- Work to resolve delays or discrepancies with customs authorities or shipment partners.
- Address and resolve any communication-related issues or discrepancies that arise during the transportation and customs clearance processes, ensuring all parties are informed of updates and solutions.
Reporting
- Generate regular reports on shipping activities, customs compliance, and any issues encountered.
- Analyze transport and customs data to improve processes and reduce costs.
Adherence to Safety Standards
- Ensure compliance with company policies regarding the safe transport of goods.
- Monitor and enforce safety procedures related to transportation and handling of cargo.
- Participate in regular safety training programs to enhance knowledge of safety protocols and emergency procedures.
Skills Requirements:
- Graduated from Industrial / Supply Chain master.
- Experience of minimum 2 years in management position.
- With strong background in import and export procedure and rules in Philippines and in other countries (Customs, Incoterms & Others).
- Experience and use of ERP solution.
- Experience in Construction field and Railway Industry is a plus factor.
- Ability to work under pressure and manage multiple shipments simultaneously.
- Knowledgeable of ERP SAP (IM and WM module).
- Specialized in Supply Chain.
