Virtual Medical Scheduler

The Virtual Medical Scheduler plays a key role in ensuring smooth patient flow and efficient operation of a healthcare facility. They are responsible for managing patient appointments, and handling communication between patients and staff with professionalism and accuracy.

Core Responsibilities:

• Schedule, reschedule, and confirm patient appointments via text or patient portal.
• Coordinate physician and provider calendars to avoid conflicts and maximize efficiency.
• Collect and verify patient demographics, insurance details, and referral requirements.
• Answer incoming calls and respond to patient inquiries regarding scheduling, services, or preparation instructions.
• Ensure urgent or priority appointments are scheduled promptly.
• Maintain accurate and up-to-date records in the electronic health record (EHR) system.
• Collaborate with medical staff, front office, and billing departments to ensure smooth operations.
• Provide patients with clear instructions related to appointments, procedures, or follow-ups.
• Handle appointment cancellations, waitlists, and reminders to minimize no-shows.
• Maintain confidentiality and comply with HIPAA regulations.

Qualifications:

• Experience in medical scheduling, medical office administration, or customer service preferred.
• Knowledge of medical terminology and insurance processes is a plus.
• Proficiency in EHR/EMR systems and scheduling software.
• Strong communication and organizational skills.
• Ability to multitask, problem-solve, and work well under pressure.
• Attention to detail and commitment to patient care.
