Responsible for the management of the assigned warehouse. Recommends resource mobilization, secure materials, facilitate repair and maintenance as well as to maintain cleanliness. Facilitate administrative responsibilities. Assist in strategizing and developing systems for efficiency. Ensure effectiveness of logistics / warehouse processes and PRC policies.
A. Resource Mobilization - Material Receiving (Incoming)
- Allocation of space requirement for the incoming goods within 48-72 hours prior to actual delivery date and or upon receipt of the P.O. or advance notice/advice from the concerned offices, donor, and vendors
- Receives & records incoming goods in a standard warehouse form & maintain updated record of items in the warehouse.
- Inspects compliance of specifications of delivered goods by suppliers and conducts actual physical assessment to ensure correctness of qualities and quantities based on Purchased Order and sample.
- Verifies accuracy of billing, invoices received from various suppliers/dealers and prepare Warehouse Entry Slip (GRN) before endorsing to Manager, Logistics for his appropriate action re: payment
- Supervises physical inventory count & reports for incoming local & foreign donated supplies/items furnished copies concern offices for appropriate action. (72 in a year)
B. Material Storage, Security & Maintenance
- Formulates Floor Plan & delegate Warehouse Assistant to supervise the casual workers for the stockpiling and stacking of supplies/items.
- Oversee security requirements and conduct a daily routine inspection to the status of the supplies to avoid damage, spillage, spoilage and pilferage.
- Regular inspection of stockpiles to ensure that occasional rotations of stocks are conducted to avoid box/carton deformation and damage
- See to it that heavy items are stored at the lowest level, medium weight at the middle and light items at the highest level of the racking system

- Ensure that all handling equipment is well maintained by conducting round up inspection based on the checklist prepared by the Warehouse Assistant.
- Regular conduct of inspection/check equipment e.g. change oil, v-belt replacement, hydraulic oil top up, tires, signals, horn, coolant etc. every quarter (4 times a year)
- Review the PMS/repair requested by the Warehouse Assistant based on the In-House Mechanic recommendations prior to sending the management for approval every quarter Initiates Request memo for the replacement or repair for any visible damages due to wear and tear or aging inside and outside of the building within the facility that may endanger both assets and staff.
C. Material Control & Management (Dispatching/Outgoing)
- Recommend every month supplies due to its expiration and other perishable items for its preposition/allocation.
- Evaluates incoming RIV's for issuance and prepare list of supplies w/ complete specifications on hand, delegate the Warehouse Assist. For the preparation applying First In — First out and/or First Expired — First out rule.
- Prepare and release safekeeping items from different department
- Supervise & check the loading of requested supplies, recording of outgoing transactions to inventory records and BIN Cards.
D. Documentation & Filing
- Ensures that all Warehouse Copies of documentary requirements are complete and neatly filed accordingly as per date and/or series
E. Reporting
- Real time reporting in every movement of stocks either incoming or outgoing items from and to the warehouse. This include but not limited to narrative details of what has transpired, photos and videos for documentation and update to the management
- Ensure that weekly stock position reporting is regularly prepared by Warehouse Assistant.
F. Management Support
- Assists with various program operations as requested, as responsibilities permit and as directed by the Manager
Qualifications
- 4-year Course, BS Management /Business Administration, or a related field.
- Minimum of 3 years of experience in warehouse management or logistics, preferably in a supervisory role.
- Experienced in Project management
- · Strong leadership and team management skills.
- Excellent organizational and problem-solving abilities.
- Proficiency in warehouse management systems and software.
- Strong communication and interpersonal skills.
- Ability to work under pressure and handle multiple tasks simultaneously.
