As our operations expand, we are looking for a proactive and adaptable Administrative Support Officer to join our team. This role is evolving, offering an excellent opportunity for a motivated individual to contribute to various aspects of business administration and operations.
Key Responsibilities
- General Administration & Data Entry: Perform day-to-day administrative tasks, including managing documents, data entry, and maintaining records.
- Email & Calendar Management (MD and OM): Organise schedules, set up appointments, and ensure effective communication across the team.
- LinkedIn Management: Assist with managing the company’s LinkedIn presence, including posting updates and engaging with the audience.
- Minutes of Meetings: Record and distribute meeting minutes, ensuring key action points are tracked and followed up.
- ClickUp Task Management: Maintain and update project tasks in ClickUp, ensuring workflow efficiency.
- Customer Onboarding: Support new customer setup processes, including documentation and communication.
- Invoicing Assistance: Collaborate with the accounts team to assist in invoicing and financial documentation.
- Generating Reports from SimPro: Extract and format reports from SimPro to make them presentable and useful for decision-making.
- Reporting & Job Status Updates: Provide regular updates to clients regarding job progress and status, follow up clients for outstanding purchase orders.
- Team Follow-Up for Compliance: Ensure team members adhere to compliance and safety regulations by following up on required documentation and reporting.
- Stock & Equipment Tracking: Assist in maintaining inventory records and tracking equipment usage.
- Supplier & Vendor Coordination: Communicate with suppliers and vendors for orders, invoices, and service-related queries.
- Process Improvement Support: Assist in identifying and implementing improvements to administrative processes for increased efficiency.
Skills & Experience
- Proven experience in an administrative or support role.
- Strong organisational and time management skills.
- Proficiency in Microsoft Office Suite, SimPro (Advantageous), and ClickUp
- Ability to multitask and adapt to a fast-paced, evolving work environment.
- Excellent written and verbal communication skills.
- High attention to detail and accuracy.
