Key Responsibilities:
Administrative Support:
- Assist the operations team with daily administrative tasks, including filing, data entry, and scheduling.
- Prepare and distribute correspondence, reports, and presentations.
- Manage calendars, arrange meetings, and coordinate travel arrangements.
Data Management:
- Maintain accurate records of operational data and documentation.
- Update and manage databases and ensure data integrity.
- Compile and analyze operational reports as needed.
Communication:
- Serve as a point of contact for internal and external communications.
- Handle incoming calls, emails, and inquiries, directing them to the appropriate personnel.
- Facilitate effective communication between departments and with external partners.
Office Management:
- Monitor and manage office supplies and equipment, placing orders when necessary.
- Coordinate office maintenance and repair services.
- Ensure a clean and organized office environment.
Support to Operations Team:
- Assist in the preparation and execution of operational projects and initiatives.
- Support the operations team with logistics, scheduling, and documentation.
- Help coordinate training sessions and other team activities.
Compliance and Reporting:
- Ensure compliance with company policies and procedures.
- Assist with the preparation of compliance reports and documentation.
- Maintain confidentiality of sensitive information.
Qualifications:
Education:
- Graduate of any 4-year course.
Experience:
- Minimum of 2-3 years of administrative experience, preferably in an operations or similar setting.
- Experience with office management and administrative support.
Skills:
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Excellent organizational and multitasking abilities.
- Strong written and verbal communication skills.
- Attention to detail and problem-solving skills.
- Ability to work independently and as part of a team.
Working Conditions:
- Work is typically performed in an office environment.
- May require occasional lifting of office supplies and equipment.
- Standard office hours, with occasional overtime or weekend work as needed.
