The Electronic Records Delivery (ERD) Specialist is responsible for managing the flow of electronic information from custodians, focusing on the retrieval of medical, billing, and other business records. This includes electronic document acquisition, invoice processing, and resolution of record-related issues across one or more business unit locations.
Key Responsibilities:
- Maintain and update the company database with accurate order information throughout the record retrieval process.
- Manage and organize the assigned Outlook inbox, ensuring timely processing of incoming custodian communications.
- Deliver records securely to production, billing (if applicable), and records support teams, and archive files on shared drives and internal systems.
- Retrieve and verify custodian invoices, ensuring compliance with client agreements and state fee limits; process payments via credit card or check.
- Confirm record accuracy by cross-checking patient details, client specifications, record types, and service dates.
- Upload and download documents from various provider portals.
- Review and resolve custodian request rejections based on rejection type.
- Ensure strict confidentiality of medical records and full compliance with HIPAA and other applicable regulations.
- Support training and cross-training initiatives for team members.
- Perform other duties as assigned.

Education & Experience:
- High school diploma or equivalent required.
- Experience in a multi-functional, geographically diverse environment preferred.
- At least 6 months to 1 year of experience in high-volume data entry.
- Commitment to compliance with company policies and procedures.
