Job Description:
The Event Services Assistant (ESA) supports the Event Services Lead in executing social and corporate events at Lakehall. This role assists with client coordination, event logistics, vendor communication, and administrative tasks to ensure seamless event execution. The Event Services Lead plays a vital role in maintaining Lakehall’s high service standards, contributing to the success of each event.
1*. Event Coordination Support*
a. Assist the ESS in managing event logistics, including event setup, execution, and breakdown.
b. Support pre-event coordination meetings, ensuring all departments are aligned.
c. Help facilitate vendor and client meetings, ensuring details are documented accurately.
2. Client Liaison & Communication
a. Serve as a secondary point of contact for clients, answering inquiries and providing event updates.
b. Assist in client onboarding, ensuring they understand event guidelines and processes.
c. Support post-event follow-ups, gathering feedback and assisting with survey completion.
3. Vendor & Supplier Coordination
a. Assist in coordinating vendor logistics, ensuring compliance with Lakehall’s policies.
b. Help vendors understand setup and breakdown schedules, confirming adherence to event timelines.
c. Ensure vendors acknowledge and comply with Lakehall’s Guidelines.
4. Administrative & CRM Support
a. Update the CRM system with client interactions, vendor details, and event notes.
b. Assist in preparing Banquet Event Orders (BEOs) and event documentation.

5. Event Day Operations
a. Assist in event setup and logistics, ensuring alignment with client expectations.
b. Monitor event flow, proactively addressing minor on-site concerns.
c. Support the ESS in client hospitality, ensuring seamless guest experiences.
6.Post-Event Coordination & Feedback Collection
a. Assist in post-event wrap-ups, ensuring venues are properly reset.
b. Help gather client and vendor feedback, recording insights for future improvements.

7. Proficiency in Event Temple Software Utilization
a. Utilize Event Temple to manage event planning workflows, track client interactions, and ensure accurate event details.
b. Maintain and update event data, ensuring seamless coordination between departments.
c. Leverage the software to enhance efficiency, reduce planning time, and improve data accuracy.
8. Other Duties as Assigned
a. While the primary focus of this role is Event Services, the ESA may be assigned additional tasks based on operational needs.
b. Support cross-functional projects or administrative duties as time permits, ensuring smooth workflow across departments.
c. Maintain flexibility and a collaborative approach, assisting where needed to contribute to the overall success of Lakehall.
Other Duties as Assigned

JOB SPECIFICATIONS:
Education:
Bachelor’s degree or diploma in Event Management, Hospitality, or a related field preferred but not required.
Industry Experience:
- 1+ years of experience in event coordination, hospitality, or a customer-facing role.
- Experience in F&B, banquet services, or administrative event support is a plus.
