Key Responsibilities:
- Manage calendars, including scheduling meetings and coordinating logistics
- Handle internal and external communications on behalf of senior leaders
- Draft emails, documents, and follow-ups with a high level of professionalism
- Prepare meeting materials including agendas, notes, follow-ups, presentations, and reports
- Assist Partners with sales outreach and follow-up coordination
- Coordinate travel arrangements, expense reporting, and itineraries
- Anticipate executive needs and take initiative to address them
- Maintain confidentiality and handle sensitive information with discretion
- Support with special projects and internal operations as needed
- Keep practice management software work items organized and up to date across all teams
- Track deadlines, task updates, and follow-ups to ensure timely execution
- Assist in assigning tasks and balancing workloads across the team
- Track tasks, deadlines, and priorities across multiple projects
- Ensure timely and accurate timesheet entries from team members
- Follow up on missing or inconsistent time entries as needed
- Help generate reports for tracking performance and team capacity
- Prepare client proposals, engagement letters, and other key documents
- Track proposal status and follow up with Partners and clients
- Ensure templates and documents align with firm standards and branding
- Coordinate client signatures, onboarding paperwork, and file organization
- Serve as a communication bridge between leadership, team members, and external stakeholders
- Organize internal team meetings, huddles, and planning sessions
- Coordinate onboarding and offboarding activities and internal checklists
- Organize digital files and maintain accurate documentation
- Maintain organized digital filing systems and shared folders
- Assist with firm-wide projects, internal events, and operational support
- Jump in wherever needed to keep things running smoothly and efficiently
Qualifications:
- Should be amenable working on a graveyard schedule
- Must have at least 3 years of experience working as an Executive Assistant.
- Able to work independently and can multi task.
- Strong communication and writing skills.
