Job Summary: As the Executive Assistant to the Chief Human Resources Officer (CHRO), you will provide high-level administrative, operational, and coordination support to ensure the smooth and efficient execution of HR and administrative strategies, policies, and internal initiatives. This role demands exceptional organizational skills, utmost confidentiality, and the ability to manage multiple priorities with discretion and professionalism. You will act as a key support to the CHRO and assist in facilitating communication and alignment across the HR and Admin Departments.
Key Responsibilities:
Calendar Management
⚫️ Manage the CHRO’s calendar, including interviews, internal meetings, and cross-
functional engagements.
⚫️ Send daily calendar updates every morning to provide visibility into the CHRO’s
schedule.
⚫️ Oversee meeting room bookings to ensure efficient space utilization.
⚫️ Coordinate with other Executive Assistants to avoid scheduling conflicts and streamline
inter-departmental meetings.
Executive Department Support
⚫️ Coordinate with other C-level executives and departments on behalf of the CHRO.
⚫️ Provide support for tasks and initiatives assigned to the CHRO or driven by the HR and
Admin teams.
⚫️ Ensure timely follow-through and alignment on cross-functional priorities and requests.
Document & Filing Management
⚫️ Draft, proofread, and organize official documents requiring the CHRO’s review or
signature.
⚫️ Maintain a secure, up-to-date, and organized digital and physical filing system for HR
and Admin documentation.
HR & Admin Workflow Support
⚫️ Assist in the preparation of Manpower Requisition Forms (MRFs), Job Descriptions
(JDs), and employee equipment requests.
⚫️ Help organize HR-led events, including training sessions, town halls, engagement
activities, and team-building programs.
⚫️ Coordinate with external legal counsel for the review and finalization of HR-related legal documents.
⚫️ Provide administrative support to ensure effective day-to-day operations of the HR and
Admin Departments.
Confidential & Strategic Support
⚫️ Handle sensitive employee and HR/Admin data with discretion and confidentiality.
⚫️ Support the CHRO in tracking deliverables, timelines, and progress on HR and Admin
strategic initiatives.
Other Duties
⚫️ Perform other related duties as assigned by the CHRO.
⚫️ Participate in or recommend relevant trainings that contribute to professional
development and enhance departmental efficiency.
Qualifications:
- At least 2 years of experience as an Executive Assistant, preferably with exposure to HR or administrative functions
- Strong organizational skills and attention to detail, especially in document preparation and proofreading
- Proven ability to handle confidential and sensitive information with discretion
- Proactive, with sound judgment and strong common sense
- Capable of working independently and anticipating executive needs
- Able to adapt to a fast-paced and evolving work environment
- Excellent verbal and written communication skills
- Proficiency in Microsoft Office (Word, Excel, PowerPoint) and Google Workspace (Docs, Sheets, Calendar)
- Professional demeanor and strong interpersonal skills
- Experience in event coordination or training logistics is an advantage

Pay: Php35,000.00 - Php40,000.00 per month
