Position: Importation Officer
Duties and Responsibilities:
- Issues P.O. and coordinates to foreign suppliers.
- Coordinates to foreign suppliers, freight forwarders, and brokers ensuring these company’s purchases are completed and maintained in an effective, efficient, and accurate manner.
- Gives updates to all concerned personnel regarding status of all importations.
- Responsible in the collection and preparation of all required documents for Customs releasing including the application of the Authority to Release Imported Goods (ATRIG) prior to departure.
- Sends translation to all Departments prior and upon arrival of importations.
- Ensures correct application of necessary documentation for importations across relevant partners, (i.e. BIR, Insurance, etc.)
- Coordinates on solutions with suppliers regarding product discrepancies, breakages, etc.
- Monitors stock availability of foreign goods and supplies.
- Assists Warehouse Dept. in receiving shipments when necessary.
- Maintains good relationship with all collaborators & suppliers ensuring a smooth and efficient Importations process.
- Processes confidential data and information according to guidelines such supplier’s database, pricelist, and contracts.
- Maintains, updates, and monitors foreign payables, ensuring that everything is paid prior its due date.
- Ensures all billings are correct before endorsing to Finance Dept. to avoid over/underpayment.
- Preparing cost estimates and managing budget in coordination with the Finance Dept.
- Maintains all the records of importation in folders with all the pertinent documents attached.
- Other tasks that may be assigned by management.
