Business Job Title: Invoice Processing
Process: Accounts Payable
Reports To: Accounts Payable Team Lead
Scope of Work: Invoice Processing Specialist will be responsible in processing invoices supporting North America, APAC and EMEA Region. This is an individual contributor role and will be responsible contributing to meet the SLAs as well as KPI’s of the Accounts Payable service delivery team.
Stakeholders of this role will include the vendors, Procure to Pay team, Controllers, Tax, Treasury Team, Internal Audit, Payroll team and different business units needing the support from the end-to-end Expense Management Process.
The department can be very busy during year end and quarter end and therefore a calm approach is required together with the ability to prioritize workload to achieve maximum efficiency is an advantage. As such, good communication and organization skills are required.
Main Responsibilities
- Handles invoice verification and ensure accurate data entry in Workday
- Matching of invoice, purchase order and goods receipt (if applicable)
- Validates and records vendor invoices and credit notes and routes them for approval
- Allocating charges to proper G/L account and cost centers
- Perform activities to comply with SOX controls with the prescribed procedures.
- Research and resolve concerns related to endor Invoices/credit notes to make it ready for payment
- Accountable in delivering the agreed SLA and KPI’s of Accounts Payable team
Other Responsibilities
- Work with all relevant departments to maintain correct corporate data and account history
- Raise to Team Lead any idea for improvement within Accounts Payable team to ensure Global Process alignment and drive standardization
- Perform other ad hoc activities as assigned
Skills
- Knowledgeable in Workday, Coupa, NetSuite or other ERP
- Proficient in MS applications, including but not limited to Excel, Word and PowerPoint
- Strong attention to detail and with analytical ability
- Above average written and verbal communication skills with the ability to interact effectively with all departments and levels within the company
- Strong customer service and proactiveness
- Able to handle multiple tasks and follow detailed instructions with accuracy
- Ability to handle a high-volume, deadline driven environment
- Ability to work effectively with other team members
- Ability to adapt to change
- Results oriented with consistency, punctuality and can work with minimal supervision
- Good organization skills
- Can work on a flexible work arrangement and shifting schedules
Years of Experience: Fresh graduate to one year experience, preferably a graduate of BS Accountancy or any Finance-related Degree
Work experience in a multi-national and/or shared service companies (preferred)
Education: Preferrably a graduate of BS Accountancy or any Business-related Degree
Certifications: CPA preferred but not a requirement
Other Requirements: Work experience in a multi-national and/or shared service companies (preferred)
