As part of our client’s growth, we are looking for a Production Artist who can enhance their brand presence by creating high-quality visual assets for eCommerce, retail packaging, and marketing materials.
About the Role
We are seeking a talented and detail-oriented Operations / Logistics Coordinator to join our client’s team. This role is responsible for managing order entry, preparing and tracking the required documentation, and ensuring timely follow-ups. While primarily clerical in nature, it requires strong attention to detail, as it involves handling overseas paperwork and coordinating with third-party partners.
Responsibilities
- Packaging & Shipping Requirements: Review customer specifications for packaging and shipping, and coordinate with the appropriate teams.
- Logistics Planning & SOP Communication: Determine customer logistics requirements (routing, timing, shipment preparation, and documentation) and communicate them to warehouse personnel via a formal Standard Operating Procedure.
- Order Processing & Coordination: Handle processing of customer purchase orders received via e-mail, fax, or EDI; enter sales orders; and coordinate shipments with the warehouse team.
- Invoicing & EDI Management: Send invoices and Advanced Shipping Notices (ASNs) for EDI customers.
- Shipment Fulfillment & Issue Resolution: Monitor and proactively communicate issues related to shipment fulfillment, including inventory levels and timing concerns.
- Cross-Team Communication: Serve as a primary point of contact between the sales team and warehouse staff/factory staff to ensure timely and accurate fulfillment of customer orders, while ensuring compliance and minimizing chargeback risks.
- Reporting & Account Health Tracking: Assist in developing and maintaining reports that track the health of accounts and products.
- Inventory & Availability Monitoring: Track and provide recommendations regarding product availability, including inbound purchase orders.
- General Operational Support: As necessary, assist with other operational areas and general office tasks.
Competencies and QualificationsMust-Have
- 2–4 years of experience in logistics coordination, operations, or supply chain management.
- Experience in US domestic freight/shipping (U.S. to U.S.) or international logistics (FOB shipments, import/export documentation, customs requirements)
- Proficiency in Microsoft Office Suite (Excel, Word, Outlook).
- Familiarity with ERP systems and EDI transaction processing.
- Strong understanding of shipping documentation, routing, and compliance requirements.
Nice-to-Have
- Experience working with Amazon, Shopify, or other eCommerce platforms.
- Prior experience in consumer goods, retail, or distribution environment is a plus.
