Job Summary:
The OPEX Advocate will be responsible for supporting, managing, and delivering Operational Excellence initiatives across various project types in Elsevier Customer Service and Order to Cash (CS/OTC), including but not limited to Lean Six Sigma, Lean, Agile, and Automation methodologies. This role requires close collaboration with cross-functional teams including but not limited to the REPH OPEX Team, Technology, Operations teams, and others to ensure successful completion of project deliverables from ideation through deployment and closure. The OPEX Advocate will facilitate project execution, manage stakeholder communications, and contribute by leading ongoing innovation initiatives.
Key Responsibilities:
1. Project Management
- Plan, monitor, and manage innovation projects from initiation to completion.
- Lead project planning efforts, resource management, progress reporting, and troubleshooting activities.
- Ensure project deliverables meet specifications for technical quality, reliability, schedule, and cost/benefits.
- Leads his/her own Continuous Improvement Projects that contributes to key Elsevier CS-OTC processes/objectives.
2. Performance Monitoring
- Monitor project performance metrics, recommend schedule changes, cost adjustments, or resource allocations as necessary.
- Document and communicate project statuses and outcomes to key stakeholders and relevant individuals effectively.
3. Business Support
- Organize and manage data pertaining to projects, coordinating with cross-functional teams to establish and maintain standard procedures.
- Analyze operational and process gaps to propose and implement solutions, enhancing overall operational excellence, and customer experience.
- Drive efforts to identify and improve operational processes to enhance CX performance.
4. Documentation & Reporting
- Assist in documenting business and functional requirements for automation opportunities and continuous improvement projects.
- Prepare presentations and reports regarding project status for stakeholders and relevant members' review.
5. Agile Methodology
- Collaborate with product owners and Agile scrum teams to define project scope, gather requirements, and document workflows.
- Create user stories, epics, and tasks, clearly defining acceptance criteria.
- Facilitate agile practices to support project execution and team productivity.
6. Team Collaboration
- Conduct scrum calls and support the development team through demonstration of functionalities and features.
- Support and conduct OPEX-related training sessions as necessary to ensure the smooth execution of projects.
7. Knowledge Management
- Contribute to the team's knowledge base by creating and maintaining user guides, documentation, and knowledge articles related to process management and requirements analysis.
- Collaborate across teams to support system documentation and proof of concepts as required.
Accountabilities:
- Analyze operational and process gaps across the supported division. Assist in developing solutions and drive projects focused on improving operational excellence, customer experience, revenue, and overall business performance.
- Analyze business and technical processes to formulate and develop new and modified business information processing systems.
- Help define the business cases, scope of projects, process flows, gather project requirements and translate and document requirements following agile methodology for use by the product owners and agile scrum teams
- Document business and functional requirements of automation opportunities using agile methodology and closely collaborate with development and quality assurance teams in system development and system enhancement projects.
- Create Epics/Stories/Tasks/User Stories including documentation of acceptance criteria.
- Work with business teams to prepare system documentation needed for the project
- Drive scrum calls in the capacity of scrum master if needed
- Conduct demos to product owners and business teams of functionalities developed by the development team.
- Contribute and help build team’s knowledge management by creating application user guide, documentation or knowledge articles related to requirements analysis and management standards
- Support the development of proof of concepts by defining scope, process and requirements
Qualifications:
- Bachelor's Degree holder
- Must have experience working on different Continuous Improvement Frameworks and Methodologies.
- Has good understanding of Agile methodology
- Certified Agile Associate and/or completed at least 1 experiment
- Self-driven and results-oriented individual with proven ability to influence and engage the team in delivering best-in-class solutions to business partners
- Detail oriented; Strong analytical, quantitative and deductive reasoning skills.
- Ability to work with management teams to translate high-level business plans into action steps and automation solutions.
- Sound organizational and project management skills.
- Demonstrated ability to work/communicate with all levels of management.
- Process mapping and workflow development and maintenance experience. BPMN 2.0 is a plus.
- Exposure to process automation tools like Appian, UIPath and Microsoft Power Platform is a plus
- Must be willing to work on a flexible schedule
