Position Title: Paralegal Specialist

Position Summary
We are seeking a meticulous and well-organized Paralegal Specialist to support the licensing and compliance operations of Professional Employer Organizations (PEOs) across various U.S. states. This role involves direct coordination with regulatory bodies and internal teams to ensure all legal filings, renewals, and compliance documentation are submitted accurately and on time. Ideal for individuals with strong legal administrative experience, this role plays a key part in maintaining our regulatory readiness and operational excellence.
Key Responsibilities
Compliance & Legal Operations
- Manage license applications, renewals, and ongoing maintenance across U.S. jurisdictions.
- Review and update state licensing requirements at least twice a year.
- Ensure timely submission of documents for newly added client worksites.
- File required reports for new and terminated worksites.
- Track regulatory changes and adjust internal protocols as necessary.
Coordination & Communication
- Act as the primary point of contact for U.S. regulatory agencies such as the IRS, DOL, and state-level authorities.
- Collaborate with cross-functional teams and external partners to ensure compliance deadlines are met.
Documentation & Reporting
- Organize and maintain accurate legal documentation and compliance records.
- Prepare regular reports (monthly, quarterly, biannual) for audits and regulatory reviews.
Administrative & Policy Support
- Support onboarding and ongoing training related to compliance and legal processes.
- Follow company standard operating procedures and contribute to audit preparation.
- Assist with legal admin tasks and special projects as assigned.
Security & Standards Compliance
- Promptly report any data security concerns or issues.
- Comply with internal policy frameworks, including QMS, ISMS, EHS, and EMS.
Qualifications
Educational Background
- Bachelor’s degree in Legal Management, Paralegal Studies, Political Science, Business Administration, Mass Communication, Journalism, or a related field.
Experience & Skills
- Minimum of 1 year in a legal, paralegal, or compliance-related role.
- Excellent research, writing, and critical analysis skills.
- Strong communication skills in English (written and spoken).
- Preferably experienced in working with U.S. regulatory agencies or clients.
- Proficient in Microsoft Office tools (Word, Excel, PowerPoint).
- Highly organized, with the ability to manage multiple tasks and meet deadlines.
