Job Summary
Serves as the key support link between the project site, sales team, marketing team, and management. This role is responsible for coordinating all sales and marketing activities on-site, ensuring smooth project operations, timely reporting, and effective communication among stakeholders to help achieve sales targets and project visibility.
Duties and Responsibilities
A. Sales Coordination:
- Monitor and consolidate daily, weekly, and monthly sales reports from in-house sellers and broker networks.
- Track reservation status, buyer documents, inventory availability, and payment schedules.
- Assist in the implementation of sales promos, contests, and broker incentive programs.
- Facilitate site trippings and client site visits in coordination with property specialists and brokers in the absence of sales coordinator.
- Ensure timely updating of sales inventory, price lists, and project availability.
B. Marketing Coordination:
- Support execution of on-site and off-site marketing activities (open houses, tripping days, road shows, and community activations).
- Coordinate with the marketing team on branding materials, site signages, and promotional collaterals.
- Assist in setting up and managing marketing events at the project site.
- Monitor competitor projects nearby for pricing, promos, and inventory comparison.
C. Digital Marketing and Social Media Management
- Manage and update company digital platforms (Facebook Page, Instagram, Website, et.).
- Create basic social media content (captions, post scheduling, photo selection).
- Coordinate with graphic artists or third-party digital agencies for campaign materials.
- Respond to online inquiries and comments in a timely manner (lead management for social media inquiries).
- Monitor engagement metrics (reach, likes, comments, shares) and recommend ways to improve performance.
D. Broker and Agent Support
- Coordinate broker briefings, site orientation, and open house events.
- Maintain updated broker contact lists and facilitate timely-dissemination of project updates.
- Assist in broker documentation and accreditation process.
E. Administrative Support
- Handle client walk-ins and on-site inquiries when necessary.
- Ensure availability of marketing kits, flyers, and site promotional materials.
- Provide admin support for events, site documentation, and coordination with other departments (Admin, Finance, and Sales Admin).
F. Reporting:
- Prepare and submit consolidated sales, marketing, and broker activity reports on a weekly and monthly basis.
- Provide event post-activity reports with analysis and recommendations.
Qualifications:
- Graduate of any Business-related, Marketing, or Real Estate Management course.
- At least 1-2 years experience in sales coordination, marketing support, or real estate project coordination.
- Strong organizational and multitasking skills.
- Good communication and interpersonal skills.
- Proficient in MS Office (Excel, Word, PowerPoint) and digital communication tools.
- Willing to work on-site and on weekends (during events and peak sales activities).
- Familiarity with real estate sales processes and marketing operations is an advantage.
