JOB SUMMARY:
The Sales Coordinator provides administrative and operational support to the sales team to ensure smooth and efficient sales processes. This role is responsible for coordinating with clients, preparing sales documents, monitoring orders, and assisting in achieving sales targets by maintaining excellent customer service and effective communication between departments.
KEY DUTIES AND RESPONSIBILITIES:
1. Sales Support
- Prepare and process sales quotations, proposals, and contracts.
- Coordinate with clients regarding orders, deliveries, and payment schedules.
- Assist in preparing presentations, reports, and other sales-related documents.
2. Order Processing and Monitoring
- Receive and verify purchase orders and ensure accurate encoding into the system.
- Monitor order status and ensure timely delivery in coordination with the logistics and production teams.
- Track and update clients on the progress of their orders.
3. Client Communication and Service
- Act as a point of contact for clients for inquiries, updates, and concerns.
- Maintain positive relationships with customers through prompt and professional communication.
- Follow up on pending payments and coordinate with the Accounting Department for collections.
4. Sales Data Management
- Maintain an updated database of clients, sales leads, and transactions.
- Prepare and submit sales performance reports to the Sales Manager.
- Assist in tracking sales targets and performance metrics.
5. Coordination with Other Departments
- Work closely with Production, Logistics, and Accounting teams to ensure smooth sales operations.
- Coordinate marketing activities and promotions as needed.
QUALIFICATIONS:
- Education: Bachelor’s degree in Business Administration, Marketing, or any related field.
- Experience: At least 1–2 years experience in sales coordination, customer service, or related roles (preferably in manufacturing, trading, or feed mill industry).
- Skills:
- Strong communication and interpersonal skills
- Proficient in MS Office (Word, Excel, PowerPoint) and sales software/ERP systems
- Highly organized and detail-oriented
- Ability to multitask and work under pressure
- Personal Traits: Proactive, dependable, customer-focused, and a team player.
WORKING CONDITIONS:
- Office-based, with occasional field work for client visits or events.
- May require extended hours during peak sales seasons or urgent client requests
