Job Summary:
The Admin Assistant is responsible for overseeing the day-to-day administrative operations of the company’s vehicle fleet, including regular inspections, documentation, and coordination with drivers and suppliers. The role also supports the Human Resources department in maintaining HR reports, monitoring employment status changes, and assisting during company events. This position requires both office-based reporting and occasional fieldwork to support purchasing and fleet-related concerns.
Duties and Responsibilities:
Fleet Management & Admin Tasks:
- Conduct weekly vehicle inspections and monitor vehicle conditions.
- Canvass parts, accessories, and services for vehicle maintenance and repair.
- Update and maintain reports including:
- Requisition monitoring
- Vehicle odometer readings
- Vehicle assignee logs
- Vehicle registration and insurance renewals
- Process and compile reports/documents related to vehicular accidents for insurance claims.
- Coordinate with suppliers and process billing-related documents for payment.
- Work closely with drivers to address vehicle concerns and facilitate resolution.
- Perform fieldwork when purchasing required vehicle parts or coordinating services.
HR Administrative Support:
- Update the applicant tracker and monitor candidate status.
- Track employee regularization schedules and updates.
- Assist in organizing and facilitating company events and activities.
- Perform other basic administrative tasks as assigned by HR.
Qualifications:
- Bachelor’s degree in Business Administration, Human Resources, or any related course.
- At least 1-2 years of experience in fleet coordination, office administration, or HR support roles.
- Knowledgeable in vehicle documentation and basic insurance processing is a plus.
- Proficient in MS Office (Excel, Word) and capable of maintaining organized reports.
- Good interpersonal skills and the ability to coordinate with internal staff and external vendors.
- Detail-oriented, reliable, and can manage both field and clerical tasks efficiently.
- Preferably with valid driver’s license
