Salary Range: Php 20,000 - 23,000
Responsibilities:
Administrative and Clerical Support- Perform routine office tasks such as filing, photocopying, scanning, data encoding, and routing of documents.
- Maintain physical and digital filing systems to ensure ease of access and up-to-date recordkeeping.
- Assist the Administrative Officer in scheduling meetings, appointments, and departmental activities.
- Coordinate meeting logistics, including room bookings, materials preparation, and refreshments, when applicable.
- Respond to incoming phone calls, emails, and physical correspondence in a timely, professional manner.
- Draft, proofread, and distribute basic reports, memos, letters, and meeting minutes.
- Welcome and direct office visitors, clients, and vendors courteously and efficiently.
- Coordinate visitor access and ensure proper communication with relevant staff.
- Monitor and report stock levels of office supplies and equipment.
- Assist in ordering, receiving, and organizing office materials to support daily operations.
- Ensure all documents are handled with a high level of confidentiality.
- Maintain compliance with filing and documentation policies.
- Support logistical planning for internal meetings, workshops, and office events.
- Coordinate with external vendors or service providers when needed.
- Perform additional tasks as directed by the Administrative Officer or relevant supervisor.
Qualifications:
- Experience in a similar administrative role is highly preferred.
- Background in handling and recording financial transactions is an advantage.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and familiarity with basic office equipment.
- Familiarity with Google Workspace (Docs, Sheets) is a plus.
- Excellent organizational, interpersonal, and communication skills.
- Ability to handle confidential information with integrity and discretion.
- Can work on site in Mandaluyong.
