Position: Administrative Assistant
Reports to: Center Manager / Director
Job Summary:
The Administrative Assistant provides essential front desk, clerical, and operational support to ensure the smooth daily operations of the therapy center. This role involves client-facing responsibilities, basic financial handling, organization of materials, and coordination with staff to maintain a welcoming and organized environment for children with autism and their families.
Key Responsibilities:
1. Front Desk & Client Services
- Greet clients, parents, and visitors in a warm and professional manner.
- Answer phone calls, respond to inquiries, and relay messages promptly.
- Schedule and confirm therapy sessions and meetings.
- Maintain accurate client records and files.
2. Financial & Transaction Handling
- Accept payments (cash, checks, online transfers) from clients.
- Issue official receipts and ensure proper documentation.
- Compute and reconcile daily transactions.
- Prepare and submit daily/weekly payment reports to management.
3. Administrative & Registrar Tasks
- Maintain updated enrollment records and therapy schedules.
- Assist in preparing and organizing documents, reports, and correspondence.
- Monitor and track attendance of students and staff.
- Handle basic filing, photocopying, scanning, and emailing tasks.
4. Materials & Environment Management
- Organize and maintain therapy toys, materials, and supplies.
- Coordinate with housekeeping to ensure cleanliness and safety of therapy rooms, lobby, and play areas.
- Report maintenance or repair needs promptly.
5. Coordination & Support
- Assist therapists and staff with administrative needs during sessions.
- Support event preparations (e.g., parent orientations, activities, parties).
- Uphold confidentiality and privacy of all client records.
Qualifications:
- At least a High School Diploma or Vocational/College level in Business Administration, Office Management, or related field.
- Experience in administrative, cashiering, or customer service roles preferred.
- Strong communication and interpersonal skills.
- Basic knowledge in Microsoft Office (Word, Excel) and digital scheduling tools.
- Trustworthy, detail-oriented, and organized.
- Patient, child-friendly, and able to work in a team environment.
Work Environment:
